Projects Report - Need QB Ninja Help!

I have spent countless hours with QB Online Advanced Help and still spinning my wheels.  We are undergoing a large reporting project where I need to be able to export all of my projects information for a time period into Excel so then I can slice and dice it how I want.  We use the Project Name as the unique identifier so then we can tie everything together in Excel.  I can pull all Invoice and Payment information and the Project Name will tie to it appropriately.  However, the expenses/checks will not.  I've tried multiple support agents and they all end up back at the same conclusion - QB can't export or tie that data together in a report.  This is bananas to me because I know the system ties it together because I can pull a Project Profitability Summary report that ties everything together, the Projects functionality itself is built on the fact you can tie expenses and income together under a project.  I am praying one of you QB ninjas will be able to help me out because I am at a loss on how to make this happen.

You may want to consider creating a transaction list that will allow you to view all your interrelated projects. This would be an effective means of monitoring and managing your tasks.

 

Here's how:

  1. Go to Reports.
  2. Click on the Transactions List by Customer.
  3. Tap Customize. To show specific project names.
  4. Set the date to, All Dates. This will show all the transactions tied to projects.

 

However, you can also try to resort using a third-party app for advanced reporting within QBO. To do this, simply navigate to the Apps menu as a workaround.

yes, I know how to pull and customize reports.  What I'm saying is QB will not display the project names for expenses or checks on those reports.  It is a flaw in the system.

I appreciate you for clarifying your goal, Ehconstruction0710. I see the importance of displaying the project names in your report. Let me provide you with specific instructions on how to achieve this in QuickBooks Online (QBO).

 

Since you previously ran an invoice and payment report, this will only show the project name tied to all invoices and payments (money in) in QuickBooks Online. It will not show expenses and checks because they are money-out transactions.

 

To help you with this, we can run a Transaction List by Date and filter it to a specific project name and transaction type (check and expense). Here's how:

1. In the left menu, choose Reports.
2. Type Transaction List by Date at the search menu.
3. Select the correct Report period range.

4. Select the Filter icon.
5. In the first field, select Transaction type, then choose equals, then select Check or Expense.

6. Add another condition and select Customer, then choose equals, then select the project name. You can also add conditions based on what data you need to show in your report.

7. Lastly, click Refresh report.
