QB Online Advanced Memorized Invoices

I migrated my data from QB desktop version to QB Plus Online, but it doesn't have a few features I need. Can anyone tell me if the Advanced version will allow me to group memorized invoices and automatically populate invoices with a new date? In the desktop version I simply memorize and invoice, save it in a group, then when it's time to do monthly invoicing, I enter a new date and an invoice is created for each invoice in the group with the new date. Does Advanced allow you to do that?

QB Online Advanced Memorized Invoices

Hello, Jriele.

 

As of now, memorizing transactions is only available in QuickBooks Desktop. You'll want to set up recurring transactions for customers and vendors instead since this is available in QuickBooks Online Essentials, Plus, and Advanced subscriptions. 

 

This allows you to schedule automatic posting of transactions such as invoices, bills, checks, and so on on a daily, weekly, monthly, and yearly basis. Follow the steps below to create a recurring template.

 

Here's how:

 

  1. Select the Gear icon.
  2. Under Lists, select Recurring Transactions.
  3. Click New.
  4. Select the type of transaction to create, and select OK.
  5. Enter a Template name.
  6. Choose a Type — Scheduled, unscheduled, or reminder.
  7. Enter the necessary information.
  8. Once done, hit Save Template.

QB Online Advanced Memorized Invoices

I understand how recurring transactions work but I really need to be able to enter an invoice, memorize it, put it in a group, then each month, enter a new date for the group and each invoice in that group will automatically populate with the new date. Is that possible in the Advanced version?

Memorizing an invoice is unavailable in QuickBooks Online Advanced, Amyr5114.

 

I can see that being able to memorize an invoice will help your business. You may consider looking for a third-party application that lets you do the tasks.

 

To be guided on what app to use, you can go to the Apps menu in your QBO account and browse for an app that suits your business needs.

 

You can also send your ideas to our product development team so they may consider adding this feature to future product updates.

QB Online Advanced Memorized Invoices

With QB Advanced online is it possible for the invoice details to show on statements? I have several lines on my invoices and need them to show on statements.

It's possible. You can create a transaction statement that contains all the line item details. Before you do so, please update the information displayed on the customer statement in the Account and settings section.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Select Account and settings.
  3. Go to the Sales menu.
  4. Click anywhere in the Statements section to open its contents.
  5. Choose the option List each transaction including all detail lines.
  6. Once done, hit Save, then Done.

 

After that, you can create a statement for your customer. Please ensure that the Transaction Statement is selected as the Statement Type to reflect all line item details.
