Quickbooks: How to Make linked bank account balance $0 before permanantely deactivating it.

Hello,

When I started using QuickBooks, I connected a bank account that I use to use @ that time, but I no longer use that bank account, that account is reconciled to a period till when I have used it, now when I am trying to deactivate it as it continuously shows on my dashboard and balance sheet, but when I am trying to deactivate it, Quickbooks says this account has non-zero balance & deleting it will make journal entries to make it Opening Balance Equity which is incorrect for my books, how to make its balance $0 and deleting it before affecting my books.

I'm delighted to have you here in the Community, @9379AC. I'll be happy to share some details about zeroing out the bank account balance before making the account inactive in QuickBooks Online (QBO).

Please be aware that even if you make an account inactive or delete it, it'll still appear in your dashboard and balance sheet report along with the transactions in it. If you're running a balance sheet report, you can customize it to show only the active accounts, but there's a tendency that it'll affect the accuracy of your balance sheet report. Instead of making the account inactive or deleting it, you can consider disconnecting the bank account to stop QuickBooks from downloading new transactions. To begin, here's how:

  1. Go to Bookkeeping, select Transactions, then select Banking.
  2. Select the tile for the bank account.
  3. Select the pencil icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox. A reminder, if QuickBooks is downloading new transactions, you won't see this option. Wait a few minutes for the update to finish and try again.
  5. Select Save and Close.

Refer to this article to learn more about disconnecting an account connected to online banking in QBO: Disconnect accounts connected to online banking in QuickBooks Online.

If you still wish to zero out the bank balance in QBO, follow the steps below:

  1. On the left navigational bar, go to Banking and then select the bank account that you'd like to zero out.
  2. Click the Go to bank register hyperlink.
  3. In the bank register, carefully select those transactions that weren't included in your past reconciliation to avoid messing up your books.

Additionally, I've got you this article for reference in case you'd like to customize reports in QBO: Customize reports in QuickBooks Online.

I've also got you this handy article to help you fix issues for accounts you've reconciled in the past: Fix issues for accounts you've reconciled in the past in QuickBooks Online.

It's my pleasure to assist you, @9379AC. If there's anything else that you'd like me to help you with, know that you're always welcome to post here again in the Community. Our team of experts would love to have you here again. Take care!
