We use Square as our credit card processing provider and Quickbooks to invoice. Quickbooks invoicing has an easy integration with their own credit card processing service, but no option to allow Square, or any other processing company, to seamlessly work with invoices. To compound the problem, there are cumbersome workarounds outlined in the support forum to make Square "work" with invoicing, but this isn't practical for numerous transactions.
Has Quickbooks come up with an easier way to allow Invoices and Square to be matched without manually digging into each transaction to prevent payment double counting and adding processing fees?
Hello there, rvtrek. Processing and matching multiple transactions between two applications without complete integration of their functionalities can be challenging. I can in details and provide guidance to help you match credit card payments from Square with QuickBooks Online invoices.
That's correct. QuickBooks Online has its own payment processing service through QuickBooks Payments. The service offers wide variety of options in payment processing such as credit card, debit card, ACH bank transfer, Venmo, and PayPal. That said, if you want to seamlessly match your payments in Square app and the invoices you create in QuickBooks, you'll need a payment processor like QuickBooks Payments.
While there are some limitations to how specific functionalities work between QuickBooks and Square, you can also set up the Connect to Square app to review, add, match, exclude, and undo sales transactions in QuickBooks. This connector app will allow smooth integration between Square transaction data and QuickBooks, providing a more streamlined process.
To set up the Connect to Square app, you can follow this steps:

You can use a 3rd party solution to integrate with 20+ of the major gateways including industry leaders like Authorize.net, NMI, Stripe, and PayPal with QB but unfortunately Square is not one of them. You can only use a 3rd party connector to reconcile Square transactions into QBO.
I fully understand QBO would like to see customers use your QB payment processing service because it is VERY profitable. There are numerous reasons Square and other payment processors are desirable. I won't get into a feature comparison here. What I will say is QBO has unnecessarily made invoice integration overly difficult to integrate with non-QuickBooks payment processors. Based on four or five years of forum commentary addressing this very same issue, nothing has changed. It is frustrating and leaving me open to moving to another vendor after I close the books this year. I'm simply being honest and I hope this feedback is useful your powers-that-be.
Thank you, I will stop looking for a work around now to integrate Square with QBO invoicing. It is a shame that Intuit forces you into their credit card processing company. I do wish also they would incorporate texting of invoices as well.
