Estimate Template with prefilled items

QUICKBOOKS PRO 2017 DESKTOP

I have set up my estimate template.  Now I would like to fill in all of my items onto the estimate.

I have appox 100 different items that I use on any given job.  When I write my estimates I use anywhere from 25-50 of these items per estimate.

Is there any way that I can create an estimate template to have all 100 items already on the estimate so that I don't have to input each item individually on each estimate?

Ideally I would like to be able to have all the items already listed with either a blank quantity or a quantity of "0".  I could then fill in the correct quantity for each item specific to the job.  Then save/print/send the estimate with only the items that have a quantity >0 showing.

Thank you in advance for your help.

Estimate Template with prefilled items

Thank you for reaching out to us here on the Community page, @FC Matt.

You can create an estimate and memorize it so you can open just the memorized list when creating estimates in the future.

Here's how:

  1. Select Create Estimates from the Customers menu.
  2. Fill in the necessary information on the Estimate window and add all the items you want to include under the Item column.
  3. Click on the Memorize button under Create a Copy.
  4. Add the name of the memorize transaction under the Memorize Transaction window and the setup you want.
  5. Tap OK to save it.

If you wish to create an estimate in the future, simply open the memorize transaction created from the Memorized Transaction List.

  1. Tap on Memorized Transaction List from the List menu.
  2. Look for the transaction from the Memorized Transaction List window, then click it to open.
  3. Update the date as well as the rate of the item and/or the customer name.
  4. Select Save and close to record the transaction.

Estimate Template with prefilled items

Excellent!  Thank you!

Now can I copy/paste my entire item list onto an estimate?

Estimate Template with prefilled items

Hello there @FC Matt,

There's no need to copy/paste your entire item list every time you create the estimate. You can just memorize the estimate with your item list. Follow the steps provided by my colleague Angelyn_T on how to memorize your estimate.

Once done, it will be saved in the memorize transaction list. You can use the memorize estimate whenever you want to create the same estimate in the future. You can follow the steps given by Angelyn_T on how to open the memorize estimate created from the Memorized Transaction List.

I'd also added an article that helps you pull up an open estimate list report.

Just leave a message in the comment section if you have additional questions. I'm always here to help. Have a nice day!
