Having multiple employees invoice from the field without giving full access to the books

I’ve got you covered, bakerhvac-dave.

Thanks for dropping by the Community. Let me guide you on how to add users with specific access rights.

In QuickBooks Online (QBO), you can assign a specific permission level for your employees. This determines what they can or is unable to do in your company.

Based on the details shared, you can select the Standard role. This allows you to set different levels of access for this type of user. They can work with customers, sales, vendors, and expenses.

The steps are quick and easy. I’m here to help you do this in QBO.

  1. Press the Gear icon in the upper right and select Manage users under Your company.
  2. This will open the Manage users page.
  3. Navigate to the Users tab and hit the Add user menu.user standard.1.png
  4. In the Select user type section, tick the radio button for Standard user and click Next.user standard.2.png
  5. On the Add a new user page, choose the access type you wish to assign to your workers.
  6. When you select one, make sure to read the details shown in the All access section. This lets you know the tasks they can do in the company.user standard.png
  7. Press Next and follow the onscreen instructions to finish the process.

Once done, inform the workers to check their email. Then let them click on the invitation. From there, they have to have to create a new Intuit account.

For more insights into this process, check out this article: Add and manage users in QuickBooks Online.

It provides an overview of managing user roles and permissions. Also, you’ll see a video tutorial for visual reference.

You can read through this write-up for additional resources: User roles and access rights in QuickBooks Online. It contains information about the different user types and their permission level.

Fill me in if you have any clarifications or questions about setting up users. I’m more than happy to answer them for you. Have a great rest of the day.

What kind of business do you run? A field service company? You may have an additional app for your field team.

Yes that's what i was trying to ask. Can QuickBooks replace a field app where they can invoice from the field. Without having full access to our accounting information?

Hey there, @bakerhvac-dave.

Thanks for following up with us.

At this time, QuickBooks won't replace a field app. However, you can check into our third-party apps that will allow you to invoice from a field. You can use the link I've included below to see all of our third-party apps.

You can also view them directly in your Apps menu. It has a recommended featured collection where you’re able to choose which you might think best for your business. I’ll show you how:

  1. Log in to your QuickBooks account.
  2. Select the Apps menu from your left navigation pane.
  3. Enter some keywords to search directly for apps.

For additional details about connecting products and apps, check out this help article: Connect products and apps.

Please let me know if you have further questions or concerns. I'm happy to help you out. Take care!

You should have a field service app and integrate it with your QBO account. Your field team don't need to access your QBO account.
