On the product line on an invoice, can I create a column where I can include serial numbers for different products?

I sell limited edition prints that are numbered. The computer desktop version could do this. I would be able know what the next number should be by the reports generated from this information.

Yes, you can add a column where you can include the serial numbers by adding an SKU for your products then enabling the SKU customization option in the invoice, @SMAINC. I know the process and can guide you through it.

In QuickBooks Online (QBO), we can utilize the Stock Keeping Unit (SKU) in monitoring the variations of your inventory items. An SKU is an alphanumeric code that contains the product's features like color, size, type, and so on. I can demonstrate how to do this:

  1. In the left side panel, click Sales, then go to Products & Services.
  2. Find the item you want to put a serial number.
  3. Tick Edit and enter the number or code in the SKU box.
  4. Once done, hit Save and close.

To ensure the SKU is visible in invoice, turn on the SKU option in the customizations. Here are the steps to follow:

  1. In the +New button, select Invoices.
  2. From the Manage, hit the Customization dropdown.
  3. Please enable the SKU option to add a column in the product and service, displaying the specific SKU detail for each item.

You can also add a product description when you create an invoice to add the specific serial numbers for different products.

Furthermore, to determine the next number by generating a report, you can pull up a Sales by Product/Service Detail report and customize it to show the SKU of your items. Here's how:

  1. In Reports, look for the Sales by Product/Service Detail Report.
  2. Hit Customize. Under the Group by, tick the drop-down arrow and choose SKU.
  3. Once done, tap Run report.

Additionally, in tracking your items in QBO, you can pull up a report that can help you handle it. For assistance, see this reference: Use reports to see your sales and inventory status in QuickBooks Online.

We appreciate your posting about your concern here in the Community space. If questions are still up in your mind with handling invoices, let me know. I'll be glad to assist again.

I tried using the SKU, but it is not editable on the invoice which is where I would need to but the serial number added to that SKU.

I did create a SKU and made it active on the invoice. However, it is not editable. I need to add serial numbers to that SKU. I sell limited edition art prints, meaning each print is unique requiring a chronological numbering of each print sold.

Is there another way to add this information on an invoice? I could do it on my desktop QB.

Thanks for following up on this thread, SMAINC.

I'm here to provide some additional info about the SKU on invoices in QuickBooks Online.

At this time, SKU numbers can only be edited from the item's profile on the Products and Services page of your account. I can see how having the ability to edit from the invoice itself would be beneficial. I recommend submitting feedback to the Product Development Team for review. This can be done directly through your account by clicking the Gear icon in the top right corner, and select Feedback. This is the best way to make your requests known as many product updates and feature releases come directly from these recommendations.

In the meantime, you may consider adding the serial number in the memo field of the invoice or add a custom field (available in QuickBooks Online Advanced). The following linked article provides even more info about creating and editing custom fields in QuickBooks Online Advanced.
