Hi all, I am using quick books online version and I know I apparently cannot use scan manager with this version only on desktop version. but I would please like to know how I go about scanning invoices for vendor purchases with this version. I do not want to use my mobile as I have someone doing it for me. Is there a way to scan invoices to transactions without having to click on an already scanned pdf on my pc. The only way it seems to work now is that I have to first scan an invoice, then save it with a specific name to a folder, then open quick books and attached that invoice to the transaction. this is very laborious. Any help would be appreciated.
Hi @Reyaan,
Welcome aboard to the Community. I have some information regarding QuickBooks Online's capability.
There are three ways to add expense receipts and bills into QuickBooks. You can upload the data from your computer or Google Drive, capture them with a mobile device (QuickBooks Mobile app), or email us the scanned copies to import the data on your behalf.
You have the ability to choose which option is best for your situation. If the person doing the task has access to the mobile app, I recommend using the Receipt snap feature.
This option will allow QuickBooks to start a transaction for you based on the captured info. Since the system can recognize similar information in your account, categorizing the invoices is easier.
The Receipts tab under Banking will help you match bills and receipts without going to each one of them. If there are no similar transactions, the system will let you know (see screenshot below).
To help you decide and know more about the options, please visit this page: Capture and categorize expense receipts and bills in QuickBooks Online.
Additionally, I recommend visiting the following article to learn how to create a custom email address so you can forward images of your receipts and bills in QuickBooks: Email receipts and bills to QuickBooks Online.
Keep us posted if you need additional guidance with entering vendor purchases. Have a great day.
You can utilize these apps to scan your bills or import the files into your QBO. Then you can pay your bills without any processing fees unless you pay it using credit cards.

No one addresses scanning invoices. Bills will be a plus for our business scan and semi-automate, but scanning invoices should be a basic feature of QB. All our invoices to customers look exactly the same, it should not be hard to scan the same formatted information into QB. Why do we have to use 3rd party?

I recognize the importance of having a feature that allows easy scanning of invoices in QuickBooks Online (QBO). Let me share details about the availability of this feature.
Scanning of any sales transaction is currently unavailable. The snap receipt is only possible for expenses and bills. Alternatively, you can utilize a third-party application to achieve this and help you seamlessly process scanned invoices.
You can visit the marketplace to find the app or log in to your QBO account, navigate to the Apps menu and Find Apps, then use the search field provided to find an app suitable for you.
I'd encourage you to submit your request to our Product Development Team to include the scanning of invoices in future software updates.
