Transfer funds from one class to another

I am the treasurer for a high school booster club.  We use one bank account and each of our booster groups are assigned to a class. For instance - Football, Cheer, Boys Basketball, Girls Basketball, etc. are all classes. We track their balances by class and I use the Balance Sheet by Class report to let me know how much money each booster group has.

On occasion I need move funds from one booster (class) to another for various reasons.  Example: When a booster group works to stock the vending machines they earn money for their particular group.  This money is "paid" to them from the vending class.  I know I need to do a journal entry and this is the only way I have been able to see the money removed from one class balance and added to the other.

 

Is this the proper way to handle this?

Hello there, welcome to the Community, @BFHS Booster. I'll lead you through the proper way in handling your fund transfer from one class to another in QuickBooks Desktop (QBDT).

 

You're already on the right track in transferring your funds from one class to another. Yes, I agree with you that creating a journal entry is the only way to see the money removed from one class balance and added to the other. However, I would encourage you to consult with your accountant to further guide you on the appropriate way to do this. This will ensure your financial data are accurate and updated.

 

Then, whenever you're ready to record your journal entry, kindly follow these steps:

 

  1. Go to the Company menu.
  2. Select Make General Journal Entries.
  3. Fill out the fields to create your journal entry. Make sure your debits equal your credits when you’re done. 80.PNG
  4. Select Save or Save & Close.
