Why in the new invoice layout, when I add a billable expense to an invoice with a markup it is dividing the cost into 2 quantities instead of 1 on the PDF preview?

Previously... on the old layout... when you added a billable expense it would show two line items (expense/mark up - customer won't see this) but on the invoice copy or previewing the PDF it would have one line item with the cost of the expense and markup combined stated as 1 quanity. It is the same in the new layout except on the PDF preview QBO is adding the expense plus the mark up and dividing the cost to show as a quantity of (2). If I edit the invoice and remove the mark up quantity and preview it fix the problem and it shows the charge as 1 quantity at the total amount (expense plus markup). An additional issue is that when I save this edit and exit the invoice - when I come back it shows a quantity of (2) again in the invoice preview counting the expense and the markup as (2) quantities in one line item with the cost split in half. This is annoying and it looks weird on the invoices. I wonder if they will fix this. The old layout never did this.

I can help you fix the quantities when adding a billable expense to an invoice with a markup in QuickBooks Online (QBO), Rainey.

 

When you create an invoice and add a line item for the product or service in addition to the billable expense with a markup, it will show two quantities when you preview the PDF form.

For this to show as one quantity on the PDF preview, you can delete the first or the unnecessary line item except for the billable expense on the invoice you've created.

On the other hand, we can recreate the invoice and add the billable expense with a markup directly, to show it as one quantity in the PDF preview.

 

Here's how:

 

  1. Go to the Sales tab and select Invoices.
  2. Click on Create Invoice.
  3. Select the specific customer.
  4. After choosing the correct customer, the billable expense with a markup will appear. Then, click the Add button.
  5. The quantity will now show as one. Click Review and Send.

You can select Print and Download before sending an invoice to the customer to check if the quantity is correct on the PDF preview.

If the issue persists, let's check if it's a browser-related problem. Let's access your account in an incognito mode as it ignores historical data. Stored caches can also lead to unusual displays or behavior.

  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

 

If you can add a billable expense with a markup and show it as one quantity in a PDF preview, then it's safe to say that it's being caused by your browser. Let's clear your regular browser's cache to start fresh.
