Recurring journal entry template

I use recurring journal entry templates to enter my sales. If at some point, I change one of the line items on that template, will QuickBooks online automatically go back and change all prior entries made from that journal entry template even the reconciled ones?

To clarify, changing a line item on a recurring journal entry template in QBO will not automatically update all prior entries made from that template, even if they have been reconciled. However, you can still make changes to the template itself, which will affect future transactions created from it. If you need to update previous transactions, you will need to manually edit them. 

 

Here is how you can edit a recurring template: 

 

  1. Go to Settings and then select Recurring transactions.
  2. Find the transaction you want to edit and click on Edit from the Action column.
  3. Make any necessary changes to the template name, type, customer or payee name, and item details.
  4. If you're editing a Scheduled or Reminder type template, you can adjust how far in advance QuickBooks creates the template or sends you a reminder. You can also set the frequency in the Interval section.
  5. Once you've made all the necessary changes, hit Save template.

 

Please note that changes to recurring templates are not retroactive, so you will need to edit erroneous transactions that have been entered just like any normal entry.

Thank you for your response. 
i have been afraid to change the template as i had done so before and it’s go change all the prior transactions. But I will do a test and try again…

When  I do change the JE I get a message asking if I want to change all or just this one? What is that referring to?

Sounds like the advice you got is simply untrue in one area. Certainly if you change a dollar amount, QB will not retroactively adjust prior entries, but if you are just changing the name of the account used in the transaction, or if you have decided to renumber that account in the chart of accounts, QB will update all prior entries. If you change the transaction to use a different account entirely QBO will not retroactively adjust, but you could always merge accounts at that point.

Thank you for joining the QuickBooks Community, Oduor Onyango! Just wanted to clarify: if you are trying to post multiple journal entries with different dates in a single transaction screen, it is not possible. However, you can enter batch journal entries by importing them from a CSV file. The first step would be to turn off account numbers to ensure a smooth transition.

 

  1. Make sure that your file includes the following info:
    Note: Depending on the Account Name selection (Accounts Payable or Accounts Receivable), the system will require the Name column to contain a vendor.
    • Journal No.
    • Journal Date
    • Account Name
    • Journal/Description
    • Debits
    • Credits
  2. If your spreadsheet has new accounts, be sure to add them to your chart of accounts before importing.
  3. If you turned on Warn if duplicate journal number is used on the Journal Entry form, you won’t be able to upload some entries with existing numbers. You may have to uncheck that preference on the journal entry before you import.
  4. From there, go to Settings , then select Import Data.
  5. Select Journal Entries.
  6. On the Download page, select Browse
    Note: If you need help formatting your journal entries, select Download a sample file.
  7. Find and select your CSV file. Select Open, then Next.
  8. Map your information. Your Field represents the headers on your spreadsheet. From each small arrow ▼ icon, select the one that matches a field in QuickBooks Online.
  9. Click Next. If there’s an error, edit the file and try again.
  10. Choose Start import.
  11. Select Done.

 

Once completed, you can use the search function to check and edit the journal entries.
