Reports combining unclassified and selected classes

Hi,

 

We use classes to label a subsets of our transactions.  For example, we have a class for 2019 renovations, to track various expenses related to our 2021 renovations.  For each employee, we have a label for all their transactions, including wages, continuing education, health insurance, etc., to track their "total benefits."

 

But, we also have many transactions that are not classified.

 

I can't figure out a way to do a report with certain classes selected, together with all the unclassified, together. 

 

I can do a report with just the classified.  I can do a report with specific classes selected.  But not both.

 

The only way to do both is to do a report by class (i.e. all classes, with no filters on any of the classes), and then export to excel, and then manually select what I need.  But this is cumbersome.  If I want to do a report spanning a few years, with each column for each year for comparison, I have to manually combine various excel spread sheet, each for each year, and then subtotal the classes I want.

 

In my view, all I I am really trying to ask for is a class filter (in reports) that allows me to both explicit classes and "unclassified classes" as needed.

 

Any thoughts?  Help much appreciated.

It can't be done from within QuickBooks. Generally, QuickBooks doesn't include a filter for "empty" for any field. It exists internally, based on how some pre-canned reports work, but isn't available in the interface when filtering reports.

You can pull up the Profit and Loss Unclassified report in QuickBooks Desktop to customize and filter the Class. This way, you can run a report with a specified and unspecified transactions. 

 

 

 

 

Also, you can memorize the report if you want to save it QuickBooks.

Unfortunately what you propose doesn't work for me.  If I go to the unclassified report, and then filter out any classes, nothing changes in the report.  The unclassified P&L is the unclassified P&L, whatever classes I choose to customize the report with result in no changes.

 

The reason is not because there is nothing labelled with those classes.  I believe that the class filter doesn't work within a unclassified report, period.

I'll share a solution that may help you with this situation.

 

You can add the other details as a sub-class and assign these classes on each item when you create a transaction. 

 

Here's how:

 

  1. Go to Lists Class List.
  2. Select the Class drop-down menu and choose New.
  3. Add the class name and check the Subclass of box.
  4. Choose the main class from the drop-down menu and hit OK.

Once done, follow these steps to add the Class column on an invoice:

 

  1. Click Customers Create Invoices.
  2. Go to the Formatting tab, and click the Customize Data Layout.
  3. Select the Columns tab.
  4. In the Class section, put a check mark on the Screen or Print box.
  5. Hit OK

After adding the Class option, you will see the class column where you can select the sub-classes you created. Here's a sample screenshot on what it would look like when you run a Profit and Loss by Class report:

Want to revisit to see if anything has changed.  Looks like my version of Quickbooks doesn't do a report with transactions with selected classes together with transactions without classes.  This is too bad, because Quickbooks does offer report for transactions without classes (P&L Unclassified), and report for transactions with classes and no classes but ONLY IF ALL CLASSES are included (P&L by Class).  Once I select any set of classes to filter in the P&L by Class report, I lose the unclassified column.

 

1. Is Quickbooks working on a report that allows tranasctions with select classes and transactions without classes to be combined in the future?

 

2. If I must use a 3rd party BI tool, does anyone know which tool allows me to easily do a report for transactions with select classes together with transactions that are not unclassified?

I understand how important it is for you to run specific report that combines the classified and unclassified transactions. For the time being, you can continue running two different reports while combining them by exporting to Excel.

 

Although a year has passed, this option is still isn't available yet when customizing reports. This would be a fantastic improvement in the future. I recommend utilizing QuickBooks to submit your product idea. In this manner, our Product Development team will receive your request and review it immediately. Once approved, they'll be able to include it in the upcoming updates.

 

Here's how:

 

  1. Go to the Help menu.
  2. Select Send Feedback Online, then Product Suggestion.
  3. Enter your request.
  4. Once done, hit Send Feedback.

I have the same problem/need. I want to create a P&L that includes transactions tagged with specific Classes and also include transactions for which no Class is specified. It's annoying, because there's a "Not Specified" class filter option, but when you select it, you can no longer add specific classes to "Not Specified". 

 

The only workaround I've found is to run a P&L by Class report for a specific date range and NOT specify any Class filtering. When you do so, it produces a report for all classes that have transactions in the date range, including a column (on the far right) of transactions for which Class is Not Specified. I export this report to Excel and delete all the Classes I didn't want to appear on the report (and fix the formulas that break when you do so). This results in a P&L by Class with a Not Specified Class.
