Reports - Memo Field - Filter

Is there a way to do a filter on the memo field that is generic to catch all the values?  I have tried a couple different ways and no luck.  Memo field may contain the following -

Personal - Pest

Personal - Dog

Personal - Mower

I want to catch all those entries that start with "Personal".  Nothing seems to work.

TIA

Reports - Memo Field - Filter

I appreciate your detailed explanation, and I’d like to clarify the situation regarding the memo fields in QuickBooks Desktop (QBDT), @TEBlack.

When writing checks in QBDT, it's important to note that there are two distinct memo fields: the upper MEMO field and the line-item MEMO field. In your case, I noticed from your screenshot that you've included the memo Personal in the line item details for your credit card purchases.

Please know that when you filter the report by the Credit Card Purchases memo, the report pulls up transactions based on that specific memo. Consequently, if you filter for Personal but have not used this exactly in the upper memo field, you'll receive other transactions that do not contain the description Personal, as they all fall under the same credit card purchases memo.

However, rest assured that you are not limited to generating the Check Detail report for listing your check transactions with Personal as its memo. You can run the Transaction Detail by Account report to get a comprehensive view of those transactions.

  1. Open your QBDT software and navigate to the Reports menu.
  2. Select Accountant & Taxes, then choose Transaction Detail by Account.
  3. Click the Customize Report button and make any necessary adjustments in the Display and Filters tabs to show the information you need.
  4. Once you're finished, select OK.

Furthermore, you can export the report to Excel if you need to analyze the data further and include any relevant information specific to your business needs.

Reports - Memo Field - Filter

I know a way how we can filter memo fields on your reports, TEBlack. Let me help you in getting things sorted out.

In QuickBooks Desktop, we're able to customize and filter these memo fields generally on your reports. Adding specific data will help you ensure you've reviewed the transaction associated with it. To do that:

  1. Open your QuickBooks Desktop company.
  2. Click Reports from the menu bar and choose the specific report you want to review.
  3. Edit its Date and other information. Then, click Customize Report.
  4. On the Modify report window, select the Filters tab and enter Memo.
  5. Under the Memo description box, enter Personal - Pest or Personal.
  6. Once done, select OK.

I've also added screenshots for reference.

I have tried that and it does not show any transactions.  Maybe the Memo field is not the correct memo field I'm looking at, or maybe I need to do a different report.  See the attached files.QB_Report_Filter_D05152023.PNGQB_Detail_List_D05152023.PNG

Hi there, @TEBlack. Let me provide other ways to filter to let the Memo field appear on your report in QuickBooks Desktop.

  1. Let's open the Profit and loss by detail to view the item.
  2. Next, we can click the customize button and click the Filter section.
  3. Once done, type the Memo from the Search filter.
  4. Then type the item memo to let the details show on the report
  5. Lastly, press the OK button on your keyboard.

I've also tried setting up the items you mention above, please see the results below:

That's the easiest way to view the details in the Memo field.

Suppose you have to adjust your product's quantity or total value in QBDT to keep your inventory status accurate. In that case, you can visit this link: Adjust your inventory quantity or value in QuickBooks Desktop.

Let me know if you still have other concerns with managing your reports. I'll be around to help.

Reports - Memo Field - Filter

I can get the memo field on the report. I want to only display lines that have a value of "personal" or a form of "personal" in the Memo Field.

I appreciate you for getting back with more information, @TEBlack.

My colleague, ChristineJoieR, is correct about using the Filters when running your P&L by Detail report in QuickBooks Desktop (QBDT). That said, you can customize this to see the following you want the application to look like. To do so, you can follow the steps outlined above and ensure that you selected the correct filter in the Filters tab.

To elaborate, here's how:

  1. Click the Customize button and tap the Filter tab.
  2. In the Choose Filter section, type in the word Memo to include the memo on the report.
  3. Under that, enter Personal to only display lines that have the value of the personal form.
  4. Then click OK to apply changes.

You can visit this article for more options for customizing your report: Customize reports in QuickBooks Desktop.

Let me know if you have more questions about reports, I'll ensure to get back as soon as I can. Stay safe!

Reports - Memo Field - Filter

So, getting back to this issue again.  I'm running the "Check Detail" report.  I have a transaction in that report every month for "Citicards".  These are credit card purchases that I generate a check for.  The account I use is "Miscellaneous Expense", and then I add a Memo of "Personal - ?????".  I want to list only those checks to "Citicards", that has a Memo value that contains "Personal -".  I can get the "Citicards" transactions, but when I add a filter for the Memo field the report goes blank.  If I remove the filter for the Memo field I get all the info for that Check.  I want this report, with the subtotals by Month, but only want these certain transactions to list that are circled in "RED"

@Jelayca V - so this works, but does not summarize by month, is that possible?  It just list the transactions all together, would like a subtotal by month.
