REPORTS TO MANAGEMENT

 

SINCE WE WENT TO THE TROUBLE OF NUMBERING OUR ACCOUNTS FOR REPORTS AND TO QUICKLY FIND AN ACCOUNT RATHER THAN GO THROUGH THE ALPHABET, WHY ARE THE REPORTS NOT IN NUMERICAL ACCOUNT ORDER.

 

 
In QuickBooks Online, reports often show accounts in a set order based on the report type rather than strictly by account number.

Here’s why:
1. Header vs. Detail Accounts: Some reports pull data from header accounts, others from detail accounts, affecting order.
2. Report Design: Many reports group accounts by account type or category rather than numerical order.
3. Classes and Transactions: Classes attach to details, not headers, influencing how transactions appear in reports.

Numbering accounts helps with finding and organizing accounts in lists, but reports focus on meaningful financial grouping rather than strict numerical order.
 
 

I THINK YOU'LL FIND THAT GAAP USES NUMERICAL ORDER TO CLASSIFY AND SORT CORRECTLY ACCOUNTING REPORTING.  NEVER ALPHA ORDER.

 

QuickBooks Online reports do not have a built-in option to sort accounts strictly by account number.

However, you can make your reports easier to read with these tips:
1. Turn on account numbers: Ensure account numbers are enabled in Settings > Account and settings > Advanced > Chart of accounts.
2. Assign account numbers: Make sure each account has a clear, unique number assigned.
3. Customize reports: Use the Customize option in reports to group or filter by accounts, though numerical sorting is limited.

Currently, QuickBooks organizes reports by account type or category by design, not by number. To view accounts in numerical order, use the Chart of Accounts list instead.
 
 
Report for monhtly activity NOT sorted by account number. why?

 

QuickBooks Online Plus does not automatically sort monthly activity reports by account number. Sorting by account number requires adding account numbers to customer display names for organization. For reports like Balance Sheet or Profit and Loss, QuickBooks uses headers or details that may not link directly to account numbers. Without account numbers in the relevant fields, reports won’t sort by them automatically.

To help organize by account number, you can add unique account numbers to customer display names or addresses manually. However, QuickBooks won't prevent duplicate numbers. This manual setup is necessary because report sorting depends on how data is assigned and labeled.

If your report is not sorted by account number, it is likely because account numbers are not incorporated in the data fields QuickBooks uses for that report.
 
THE ACCOUNT NUMBER IS IN THE PROPER FIELD

 

If the monthly activity report is not sorted by account number despite the account numbers being in the correct field, it is because QuickBooks Online reports often default to sorting by account name or transaction date.

QuickBooks Online does not automatically sort some reports by account number even if the numbers exist. Manual customization of the report sorting options is required.

To sort a report by account number, try this:
1. Open the report.
2. Look for a column header with the account number.   THIS COLUMN IS ENTITLED DATE
3. Click the column header to sort by account number.

If the report does not allow sorting by that column, it may be necessary to export the report to Excel to sort it manually by account number. 
 
WHY SHOULD WE HAVE TO DO THIS.  WE HAVE QBO TO DO IT FOR US AND WE PAY FOR THIS SERVICE.

QuickBooks Online currently has limitations on automatic sorting by account number within some monthly activity or transaction reports. 
 
WHY?  IF THEY ARE TOUTING THEIR GAAP CAPABILITY, WHY DO THE REPORTS NOT LOOK LIKE GAAP REPORTS?
 
IF IN FACT QBO IS USING GAAP THEN THE ACCOUNT NUMBERS SHOULD BE USED IN REPORTS. WE ADDED THEE ACCOUNT NUMBERS SO THAT THE REPORTS WOULD COME PRINT CORRECTLY.

 

 
QuickBooks Online allows using Generally Accepted Accounting Principles (GAAP), including assigning account numbers for organization. However, having account numbers assigned does not automatically guarantee reports will be sorted or printed in order by account number.

QuickBooks prioritizes usability and flexibility, so many reports default to sorting by account name or type rather than account number.

While adding account numbers helps with clarity and consistency, QuickBooks Online does not enforce strict GAAP-based sorting in reports by default. Manual sorting or customization may be needed for reports to print in the exact order you want.

This behavior reflects QuickBooks design choices rather than a violation of GAAP, as GAAP guides accounting principles but does not mandate specific report print formats.

For now, reports printing exactly by account number order is not fully automated in QuickBooks Online Plus. This design reflects the current software capabilities rather than an error.

If you want to print reports sorted by account number, consider exporting the report to Excel and sorting it there for printing.

IF THIS IS IN FACT "This design reflects the current software capabilities rather than an error." THEN THE SOFTWARE NEEDS TO BE BROUGHT UP TO DATE. WE DO IN FACT USE EXCEL TO CREATE OUR REPORTS AS THE CURRENT REPORTS ARE OF NO VALUE TO OUR BOARD. WE THOUGHT QBO WOULD BE MORE UP TO DATE THAN TO HAVE OUR STAFF HAVE TO CREATE THEIR OWN REPORTS. QBO IS REALLY BEHIND IN THIS AND OTHER AREAS.

 

QuickBooks Online Plus currently has limitations in sorting and printing reports by account number automatically, which can affect report usefulness for specific needs like board presentations.

While QuickBooks Online offers export options (Excel, CSV) for manual customization, some advanced sorting and formatting features common in desktop or specialized tools are still limited.

This limitation reflects current product design and capabilities, and the product is periodically updated to address such feedback and feature requests.

Using Excel to customize and print reports remains a practical workaround for detailed formatting and sorting by account number until more advanced features become available within QuickBooks Online.
