Run Report Budget vs Actuals for This Fiscal Year and also Last Fiscal Year

Pulling up the Budget vs Actuals report is a breeze. You can use the Budgeting tool in the system to run your desired report.

 

Here's how to do that:

  1. Go to Gear icon at the top.
  2. Select on Budgeting
  3. Find your budget on the list.
  4. Select the Action ▼ drop-down and then press on Run Budgets vs. Actuals report.

Know that the Budget Overview report summarizes budgets by account. The Budgets vs. Actuals report summarizes accounts alongside your actual account totals. It also shows how much you're under or over budget.

Thank you.  I want to customize the Budget report so it has three columns:

1. budget FY

2. FY to date actuals

3. Last FY to date (same period)

The "compare to same period" option is missing.

The Compare to same period option is unavailable in QuickBooks Online's Budget vs. Actuals report. You may need to export this report to an Excel file so you can further customize it. I'll show you how:

 

  1. Select Reports from the sidebar menu.
  2. Under the Business overview section, choose Budget vs. Actuals.
  3. Set the appropriate reporting date and accounting method, then click Run report.
  4. At the top of the report, click the Export icon and then choose Export to Excel.
  5. Save the file on your computer.
  6.  Open the report, then make sure to select Enable Editing so you can manipulate the data.

On the other hand, if you're referring to the Compare another period feature, you'll have to open your Budget vs. Actuals from the Reports menu, not on the Budgeting page. This way, you'll get the option to compare time periods side-by-side. Here's how:

 

  1. Select Reports from the sidebar menu.
  2. Under the Business overview section, choose Budget vs. Actuals.
  3. Set the appropriate reporting date and accounting method.
  4. From the Compare another period drop-down menu, select the appropriate comparison option.
  5. Click Run report.

I have not found any way to do this. I don't think it's possible with one report. The other responses are unhelpful.

 

You can compare previous periods with Statement of Activity, but not Budget vs. Actuals, where the "compare previous period" option is taken up by comparing % or $ difference between budget and actuals. Conversely, you can't compare % or $ difference between periods with the SOA report.

 

My work around is to export reports for each year to Excel then put them side-by-side yourself.

Is the only way to get Annual Budget vs Current Actuals to export and format it in Excel??????

Let me share some information about exporting reports in QuickBooks, @JodyBowe.

 

In QuickBooks Online, you can export reports to an Excel and PDF format. Currently, the option to generate and export  Annual Budget VS. Current Actuals reports is unavailable. 

 

At times, we roll out enhancements based on our customer's requests. That being said, I suggest sending a recommendation to our product developers. They'll review this idea and might consider updating it in the future.

 

Here's how:

 

  1. Go to the Gear located at the top.
  2. Under Profile, click Feedback.
  3. Enter your recommendation and select Submit.

 

In the meantime, we can run a Budget VS. Actuals in your QBO account. Then, export them through an Excel file to customize them outside QuickBooks.

 

Here's how:

 

  1. Go to Business overview and select Reports (Take me there).
  2. Search for and select the Budget VS. Actuals reports.
  3. At the top of the report, click the Export icon. 
  4. Select Export to Excel.
  5. Save the file somewhere you can easily find, like your Downloads folder or your desktop.

 

You can also create custom reports to get the data that focus on the details that matter the most to you. Then, memorize them if you want the same settings of the customized report to be available for future use. This way, you do not have to go through the customization process again.

When I run the Budget vs. Actuals Report, One of my accounts will not show an amount in the Actuals column. It gets moved over to the Over Budget column.

I used to have the option to run this report in Desktop Pro.  The fact that it it lost after switching to Quickbooks Online is a major problem.  I am absolutely disappointed in Quickbooks that this has been lost.

How can I change the report that Quickbooks uses to pull in the expense data to my Actuals vs. Budget report?  It is pulling a transaction report that is not filtered correctly.  I have created a transaction report that is filtered correctly, but I do not have the option to direct the actuals vs. budget report to use that report.

Let's first modify the accounts tied to products and services and expense transactions in QuickBooks Online (QBO):

 

For Product and Services:

 

  1. Go to Sales, then, choose Products and Services.
  2. Under the Action column, click Edit next to the desired product.
  3. In the edit window, update the Income account using the dropdown.
  4. Finally, click Save and close.

 

For Expense Transaction:

 

  1. Go to Expenses.
  2. Open the desired transaction and click View/Edit.
  3. Update the Category by selecting the new account from the dropdown list.
  4. Click Save and close.

 

When changing accounts for products/services and expenses in QuickBooks Online, ensure that these accounts match those selected in your budget settings.

 

When setting up or adjusting budgets to ensure consistency in financial reporting and budget tracking, here's how:

 

  1. In the upper right corner, go to the Gear icon.
  2. Under Tools choose Budgeting.
  3. For Run Budget vs. Actuals report drop-down menu, click View/Edit.
  4. Tick the appropriate boxes when setting up or adjusting budgets to ensure consistency in financial reporting and budget tracking.

Now, we can access specific transactions in the report and select Budget vs. Actuals from the standard options.
