Sales Tax Liability Report has a bug

No, they still have the issues. What I have found is that most of these companies, like QuickBooks, Shopify, GoDaddy, Amazon, and the list goes on, use a outside company for calculating the sales tax. I can contacted a number of them and have proven that there system has issues. They say they get the information from the state, but the state says what I have down as my sale tax. So, I am not sure were these Nexus tax companies get their information from. It is the hole system that is the issue.

I have been using the product/service detail report to get my total sales and taxable sales numbers. Is there a better way or should I be using something different?

We sale mainly to resales or wholesaler, but we do sell some to customer. Our system is setup to with an over ride tax rate, as the QuickBooks rate is wrong for our location. This gives me the same tax amount in the "Sales taxes" section that I own our state as the state says I own for the amount of taxable sales.

Any fix for this?? I just started with QBO, and I'm trying to file sales tax for the first time. So angry to find out this is an issue over 2 years old!! My gross sales numbers are incorrect, invoices without taxable sales are not on the Sales Tax Liability Report. It should not take me hours to do my tax filing..with the desktop version it was a 5 minute task!! Help!

I understand how important it is for you to pay the correct taxes. I discovered that my colleague already responded to a similar issue you asked about in another thread about the gross sales and non-taxable sales being wrong.

In the meantime, let's run a separate report to view the non-taxable and taxable sales. Then, you can go through it and review the transaction. 

 

Here's how:

 

  1. Go to the Reports menu, then run the Transaction Detail by Account.
  2. Ensure you have the correct reporting period.
  3. Click the Customize button.
  4. In the Change column field, add the A/R Paid and Taxable amount column.
  5. Go to the Filter paid, then select Invoice from the Transaction Type dropdown.
  6. Once done, hit Run report.

This report doesn't help me. It would be fine if I only needed to know my transactions for one state, but I don't. I need to know what I owe in sales tax to the State of MN, and what I owe to the State of WI. Sales tax liability reports are something I rely on my accounting software for. If I wanted to keep track of everything on a spreadsheet, and calculate it all myself, I could that for free. This report takes 30 seconds for me to run on my old QB desktop version, but now on the online version - which we are pretty much forced into "upgrading" to - it is a mess. I'm under deadlines, and now have to deal with a mess. I am not an accountant, which is why I want a simple software to make my business run smoothly. Clearly, this is not what I have got.

Here we are March 2023... and still a bug in the sales tax liability report. WTH?

 

Currently, when I pull up a liability report (pick a state, any state) It will give me the Gross sales (correct), the non-taxable (correct), the taxable amount (SO NOT CORRECT), and the tax amount (usually not correct).

 

The taxable amount is pulling items that are marked taxable - where taxable (which means it is not taxable in every state), but it ALWAYS pulls on the taxable line even when its not taxed? Try to reconcile that with a tax company (i.e. Avalara) that pulls and files CORRECTLY. So there is nothing but adjustments in almost every state every month.

 

BOTTOM LINE: The "taxable amount" on the liability reports should only include the sales that are ACTUALLY taxed.

 

@qbo - please figure this out!

I am so sick of this of this problem. Get your reports fixed @qbo. I don't understand why it can't be fixed. Unless it is their way of getting us sucked into the "expert" end. Ain't going to work for me. I'd rather suffer every month until I find something new than to give QBO anymore money.

I have 14 clients that we invoice monthly with a mix of the same products across the board.  7 of the 14 clients invoices/products do not show up on the taxable sales report.  All clients are set up the same, products are the same.  The taxable subtotal does show up on the bottom of each invoice but those products do not show up on the report.  Any idea what would cause this?  I have called in to Priority Circle Support several times, opened several cases, sent in feedback as suggested, sent messages through Facebook and no one has been able to help.  This is unacceptable.  We are a re-seller and use the Accountant version of QBO.  How do you expect us to sell a product on your behalf when we can't even get out own company file to work properly let alone get anyone to help?

I have contact Customer Support over 10 times with no response.  All of the posts recommend sending feedback, which I have done...nothing!  How can we actually get the help we need?

I too have spent over 8 hours calling in foe help and NOTHING!  I feel your pain and am as my wits end with QBO.  We are a re-seller of the product and I have lost all confidence.  It's a shame

I've checked our records and found an open investigation (INV-76474) about the client's invoices or products doesn't show up on the taxable report. Our engineers are actively working to know the root cause of this unexpected behavior.

 

To receive an email update about this case, I recommend reaching our Customer Support Team. They'll pull up your account in a secure environment and add you to the list of affected users.

 

Here's how:

 

  1. Click the Help menu in the upper-right-hand corner.
  2. Type in Talk to a human, then press Enter.
  3. Look for I still need a human and click on it.
  4. Click Get help from a human or Contact Support Team.
  5. Select between Send a messageSchedule an appointment, or Get a callback.

I called in but the support person I spoke to said this investigation does not address the issues I am experiencing.  There has to be a way we can get through to someone who can actually do something about the problem/bug.  There are so many people reporting sales tax problems and nobody seems to care at Intuit.  I even have Priority Circle support.

Hi there!

It seems like the report I have for Sales Tax Liability (STLR) does now work.

I'm not sure if it's because I spent so long on line with support asking/complaining/demonstrating or something else.  I use the QBO accountant version of Quickbooks.

I will say that for some time (and still now with some more complex clients) I pull a transaction detail report by products and services to foot with the STLR. I also use the Taxable Sales Detail report.  In all cases, I've added to the report the tax name, taxable amount and tax amount to make it easier to figure out where the issue might be.

My original issue (apologies if you've read this whole thread and already know) was that clients of mine that sometimes had sales receipts without any taxable line items - those receipts were missing completely from the STLR.  The result (bizarrely) was that the taxable amount and tax amounts seemed to be correct, but the gross sales were not.   Since in CO we report gross sales and non-taxable sales, the STLR as it was, was completely useless.

In CO we switched to destination sales tax last October and so the reporting complexities have increased 10-fold however, as it is at the moment, the STLR I use is still holding as accurate (though I always cross-check it).

I am currently having a similar problem except that it is my nontaxable sales that have the discrepancy. I contacted support and was under the impression that it was either my Connect to Square App causing the problem or the automatic sales tax.

 

All of my items are taxable and all my services are nontaxable. They are setup the same in QBO and Square. When the connect to square app sends the sales receipts to QBO the TAX box on the QB sales receipt gets checked regardless of how the products and services are setup. The total tax due is correct but the nontaxable (exempt) is incorrect because it is including my services. 

 

My workaround was to create a custom sales tax amount to use instead of by location, otherwise it selects the TAX box. Either way the workaround is a pain and the app is advertised to do the work for me. Why am I required to open each sales receipt to fix it? Intuit is raising their prices because they claim the product is better but there are still bugs in the software. And unless you know what you are looking for you could be making mistakes. And who wants to make mistakes with the Tax man?

 

Please tell me the developers are working to fix this. I hate that this box is automatically getting checked and I cannot seem to change the settings.

We can not get our STLR Gross sales to march our actual gross sales for the month.

Our company has non-taxable sales and taxable sales. Is there a way to fix the SLTR to match?

Improvements were made to our STLR and for a while, the totals matched... NOW however, the overall totals of non-taxable, taxable etc. are no longer on the report, requiring a manual addition which frankly, I don't have time for with several clients filing over 20 jurisdictions per month.  So for some time now I've used a different procedure to calculate what's owed (in CO we also switched to destination sales tax which essentially bears little/no resemblance to STLR anyway).   I can say that gennnnnnerally, the amounts in STLR are 'about right' as I go through and mark the various agencies as paid, but it's not perfect (witness that some of the liability accounts have to be reconciled and corrected +/- periodically). 

 

Natch, using terms like "about right" go against my bookkeeping grain, but it seems that in spite of years of complaints and protest, QB doesn't really give a hoot that their clients are likely filing incorrect sales tax reports as a direct result of their inability to program a report or two.

 

ICYMI - I have to add a custom field for invoices/sales receipts for the jurisdiction code for sales tax based on each client's address for CO destination taxes because QBO puts out tax jurisdictions in unfathomable labels that don't relate even slightly to where to file e.g. QBO name: CO-Douglas-99501  but the actual jurisdiction the sale fell into might be 47-0206.  Then pull a sales by product/service detail report export, skoot it over to excel and then use formulas unique to find all the tax codes and sumif to figure out gross sales, taxable, tax amounts and non-taxable for filing for each tax code.  QBO is mostly correct on the % for each jurisdiction however there are a couple that are off and I've complained (bitterly) about those.

This should not be a 'requested feature'!

 

This IS a four alarm fire!!   We (the users) have been reporting, demonstrating, shouting about a fix for a report - not even demanding new functionality - just a report be accurate.

Instead, CS tries to imply we're just looking at things incorrectly..  no.. not the case.  So many, including me, have been yelling about utterly broken sales tax reporting for YEARS...literally YEARS. 

 

Please, fix this it's unacceptable.

Since the issue persists, I suggest contacting our QuickBooks Online Support Team. They can pull up your account safely and investigate what's causing this report bug. Here's how: 

 

  1. From the Search tab, click Contact Us.
  2. Enter your question and select Continue.
  3. Review and choose from the following: Have us call you or Chat with us.

Even the most cursory of glances would tell you we are ALL exhausted from contacted QBO support on this issue and coming to this forum as a last resort, only to find this is a known issue that has been going on now for years.  Literally, years.

 

I don't have the time to once again spend hours on chat/calls with support proving to them the problem and pointing at where the possible errors might be stemming from.  We have done a ton of work FOR YOU and unless you're willing to pay my hourly rate to show you over and over again, I'm just not going to do it.

 

FIX THIS - it's fundamental functionality businesses rely on to be available and accurate and useful.  Currently, it is none of those things.  FIX IT.

alas - no you aren't the only one (though maybe this is a small consolation)

alas - as you can see I started this thread back in April 2020 and was not the first to raise the issue even then and here we are on the brink of 2024 still (only) receiving platitudes.

alas - many probably don't even realize their STLR is giving them incorrect information

alas - many are probably filing sales tax returns that are false

alas - my, nor anyone else's salty commentary here doesn't seem to get through

alas - it will likely take a law suit against Intuit for this issue before it will get fixed.

 

ps. I also deeply despise the sales tax 'center' in QBO which wastes valuable real estate on the screen, requires nearly 10,000 clicks to achieve what one or two would do AND produces faulty reports. The process to apply payments on various sales tax agencies is - pedestrian at best, and I'm being very kind.  Taken as a whole - it's shameful and Intuit should be thoroughly embarrassed but instead we get old tropes like "actively working on it" and "understand your frustration".  Gah... if I had engineers working on an bug for 4+ yrs without a fix, well...  let's just say they wouldn't be my engineers any more.

It's ironic that the advertised "Tax Center" feature by QBO doesn't work, and it is extremely painful and error-prone to file tax returns based on the reports generated by QBO. 

 

You can consider using an online sales tax filing service like Galvix, which imports the invoices from QBO, auto-reconciles the amount of taxes you collected on each invoice, comparing them with the expected tax for each customer address (as per the state/county/city level tax rules) and prepare draft returns for you every month. Once you approve the draft return, Galvix will go ahead and file the return on your behalf for each state, initiate the remittance, and upload a confirmation/acknowledgment to your account for future reference. This would save you time while also improving the accuracy of the filed returns (and thereby saving you from future hassle).
