Search comments in Sales Orders/ Purchase Orders

We typically use comments to record details about sales and purchases, is there a way to search them? (I'm using the term "comment" to describe filling in the Description field of a Sales Order/Purchase Order, while leaving the item field blank) Is there a way to include these in reports?QB_comment_example.PNG

Search comments in Sales Orders/ Purchase Orders

Hello, Delonte.

You can create a custom report of your purchase orders, then add the Memo column to look for them by descriptions. I can help on how.

  1. Open your QuickBooks Desktop file, then head over to the Reports tab.
  2. Select Transaction Detail from Custom Reports
  3. Add the Memo column under Display, then switch to the Filters tab.
  4. Set the Posting Status to Either and the Transaction Type to Purchase Order.
  5. Hit OK
  6. Set the Dates correctly, then click Refresh

For more tips about customizing the data or information on your report/s, you can open this article: Customize reports in QuickBooks Desktop.

Also, here's how you can save the settings/customization of your report for future use

I'm just right here if you need further assistance with your report. Also, please note that we're open 24/7, so feel free to reach back out anytime. Stay safe!

@Delonte

Yes, you can use Advanced Find to find transactions that have a comment in the description field of various transactions.

To do this, start on the Edit menu and look for the Find option.  Depending on the active window, you may see "Find Invoices..." or similar.

Then, select Advanced Find and/ or the Advanced tab as needed and then enter your search word for the Memo field.  If searching for non-posting transactions like Sales Orders, set the Posting filter to Non or Either:

Then double-click on a row to open the transaction.

@AileneA

Your solution will not work because the OP is putting their comment on a row of the sales order that has no item, account, or amount. Those rows don't show up on transaction detail reports.

Thank you, Red. So I conclude that these fields are inaccessible to any reporting or search component?

They are accessible to search, per my answer.  (??)
