Seeming errors in a standard report "Job Costs by Vendor and Job -Detail" run on a cash basis

I ran this report for 2019.  I noticed some transactions that I was expecting to show up did not.

Here are some of the details"  A bill from a contractor was recorded in December 2018.   A payment was issued for 1/2 of the bill at the time the bill was entered.  The balance was paid on January 25, 2019.

What I expected is the 2nd payment should show up if the report is run on a cash basis for FY2019 and it should not show up if the report is run on an accrual basis.  The payment does not show up in either report.

Is this an error or am I misunderstanding this report?   Once I noticed this, I found the same thing for another vendor with a bill paid in 2 payments

Seeming errors in a standard report "Job Costs by Vendor and Job -Detail" run on a cash basis

Welcome to the Community, @ghleonard

I appreciate you for sharing detailed information on your concern. Your understanding is correct that the 2nd payment should appear if the report is run on a cash basis for FY2019, and shouldn't show up if it's on an accrual basis.

There's no similar report about this as I've checked on our records. To help us troubleshoot this unexpected behavior, let's run the Verify and Rebuild Data tool on your company file. The first tool identifies the most common errors and data issues, while the second one resolves them.

To do this, let's choose Utilities from the File menu, then select Verify Data. Once done, check the results and follow instructions based on what the tool detects. If you see these following:

  • "QuickBooks detected no problems with your data," no further action is needed.
  • A specific error message, search for an article in our QuickBooks Desktop support site for specific instructions on fixing the errors.
  • "Your data has lost integrity," means there is data damage in the file. Continue to the steps below to Rebuild Data to correct the problem.

For future reference, read this topic: Customize customer, job, and sales reports in QuickBooks Desktop. It helps you learn about how to use filters to focus on the information the fits your business needs.

Seeming errors in a standard report "Job Costs by Vendor and Job -Detail" run on a cash basis

I am having this same problem.  I used the Job Costs by Vendor and Job Summary report and filtered only to show Subcontracted Labor and some vendors are not showing up.  However they are in my Subcontracted Labor account when I run a Quick report from my COA.  Some vendors that were entered in February and Paid in March are not showing up when I run the report on a cash basis.

Thanks for joining the thread, @TrendBuilders.

QuickBooks Desktop has a report called Unpaid Bill Detail that can be filtered to paid status.

  1. Go to the Reports menu.
  2. Click Vendors & Payable, then Unpaid Bills Detail.
  3. Select the Customize Report button, then Filters tab.
  4. Search filters to Paid Status.
  5. Choose the Closed radio button.
  6. Click OK.
  7. Set the appropriate Transaction Date range.

For future reference, you can also check out this article for more information: Customize vendor reports.

Please let me know how it goes or if you're referring to something else in the comment section. I'll be here should you need further assistance. Wishing you all the best!

I'm not sure what your reply had to do with my issue.

My problem is with the Job Costs report not showing certain vendors that have been paid in the month that i have filtered for.
