Starting a new company file mid year

My accountant noticed our data usage is super high and quick books is running slow and prone to issues now.  She suggests starting a new company file to start over which would be fine but it is now April and I have no idea how to do this mid year. The only good part of this is since my business is now closed and we are all social distancing I am home and I have the time to do this but need some serious help! Using QB Desktop Pro 2018.

Starting a new company file is easy, ekusie.

 

The historical data will no longer be in your current file, but it will still be available in your old file. You can export lists, such as customers, vendors, and Chart of Accounts from the old file to the new file, so you will not have to set those up. A wizard will pop up and guide you through in setting it up. Here's how:

  1. On your QuickBoooks Desktop, click File on the menu.
  2. Select New Company.

As additional note, should you have any transactions data to migrate between company files, you may utilize the trial period of these 3rd party tools

Starting a new company file mid year

How big is your company file?  Open QBs and hit F2.  Partway down on the left you will see the File Size.  Is it near or over 1GB?  (1000000K)

 

And if you do have a large file, rather than creating a new Company file, why not just purge the old info in the one you have.

 

First, make a copy of the current .QBW file and rename it from ComanyName.QBW to something like CompanyName-2020-04.QBW

 

Then open QBs and go to File, Utilities, Condense Data.  Pick a date to remove all transactions before X.  Mabe something like 01/01/2015.
