Tailoring Online Essential invoices and bills

We're two days into moving from QB Desktop Pro to QB Online Essential - several problems have developed:  Essential invoices seemingly don't allow our bank wire or ACH routing info to be shown (unlike Desktop Pro which allowed us to place the info in the invoice's lower left corner).  Depending on the service being provided and invoiced, we have 4 different services and two bank accounts into which customers would route their payments.

 

Also, as a small insurance broker, we have three types of accounts payable which Desktop allowed us to link to specific customers/jobs - an especially handy feature when measuring net sales/revenue by customer/job.  Online Essential doesn't seem to have a field that can capture the customer/job info on bills.

Let me share some information and help you track and invoice your billable expenses in QuickBooks Online.

While QuickBooks Online and QuickBooks Desktop share many features, QuickBooks Desktop's features are typically more developed. This means that the features and User Interface in QuickBooks Online are much simpler to use, whereas the feature set in QuickBooks Desktop is more focused on traditional accounting.

 

For QuickBooks Online Essentials, you can set up jobs as sub-customers and track billable time by job. To do this, you need to add a sub-customer first.

 

Here's how:

 

  1. Go to Sales, then Customers.
  2. Click on New customer.
  3. Enter all necessary info for the sub-customer.
  4. Tick the Is sub-customer check box.
  5. From the Enter parent customer dropdown ▼, select the parent customer.
  6. Choose Bill with parent.
  7. Select Save.

 

Once done, we need to turn on the billable time settings by following the steps below.

 

Like this:

 

  1. Go to the Gear ⚙ icon, then Account and settings.
  2. Click on the Time tab.
  3. In the Timesheet section, hit Edit ✎.
  4. Turn on the Allow time to be billable setting.
  5. If you want your users to see their billable rate when they enter their time, select the Show billing rate to users entering time checkbox. You may want to leave this unchecked if you bill customers at a different hourly rate than you pay your employees and subcontractors.
  6. Select Save, then select Done.

Why did you decide to switch to QB Online? At the very least you need to use QB Online Plus (Essentials won't suffice) to utilize the class or project tracking features to keep up with the Job feature on QB Desktop.

Keep in mind, Job data will not be converted. You need to purchase a third party service to convert QB Desktop files to QB Online including Job data.
