Buy nowI can help you with resolving the error you're having with your workflow, @modwattage.
The error you're having with your workflows can be caused by the piled-up cache in your regular browser. It stores temporary internet files from your browsing history. As it collects too many files, it can cause performance issues in your account.
I've got some steps to help fix this issue. First, sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. Here are the following keyboard shortcuts:
If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. You can also try to log in to your account using other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above didn’t work.
Here's also how you can create custom workflows to send reminders to your customers or internal team.
Let me know if you need further help with your workflows and or anything else. I'm always glad to help in any way I can. Have a great rest of the day!
We are having the same issue - we need to modify rates assigned to each entry along with changing billable status. I'm missing an entire day of work to deal with this as I'm unable to modify these entries and invoice, currently on hold with QB Time customer service after going in circles with QBO customer service... this platform is consistently failing customer needs, making nonsensical updates, and the responses reflect no familiarity with product function whatsoever. This issue will make QB unusable for us.
This is of no help whatsoever and does nothing to address the issue.

I started noticing changes in the GUI about a month ago. First the unbilled expenses view changed and was made much harder to decipher, now this. I'm literally stuck and unable to bill properly as some time entries are categorized as part of an initial scope of work and later found to be a change order and need to be assigned to a different "project" for the same customer. And let's face it, sometimes employees make mistakes on their timesheets. Two days ago I had to go in and "unapprove" entries so I could make edits, but then I had to remove that employees time entries for other jobs that had already been invoiced so the edited entry would "sync"... then back to edit all other unrelated invoices to add time entries back to invoices that had already been billed. I'm definitely going to either miss billable time, or make mistakes through all of these edits, resulting in a customer calling me out for changing something they've already viewed or even paid! What a mess- about to go to paper time sheets and skip the quickbooks workflow altogether. What a waste of time and money.
QBO- how about a simple "EDIT" function on time entries that have already been billed ???????
I appreciate you for keeping us posted with your concerns about billable expenses and the application’s interface, @modwattage.
Please know that this isn’t the kind of experience that we want to have when using the application. I can see how time-consuming it is for you when amending your employee’s time entries in QuickBooks Online (QBO).
Moreover, the effort you exerted to get around your situation is much appreciated and noted on our end. On the other hand, the option to edit billed transactions is unavailable due to its status and also to avoid any discrepancies in the future.
Additionally, I can see how this can be beneficial to you in using the application more conveniently. In this regard, I recommend you convey the feedback to our product engineers so they can take it into account while they consider your ideas. By doing this, we can understand the features that business owners need to use the product easily. This is how:
Furthermore, I added an article for your reference in recording billable expenses: Enter billable expenses in QuickBooks Online.
I’m all ears and willing to help you with any QuickBooks concerns you may have here.
Exactly. I spent most of my afternoon yesterday on hold with customer service but one representative took the time to diagnose: this was part of an update associated with Payroll, there is no work-around, and the only way to make any adjustment to a time entry is to unapprove the timesheet, edit there, and re-approve/sync. Which as you've seen, impacts payroll. This eliminates our ability to use the product and now I need to determine how to track time outside of QB for both invoices and payroll... this is disastrous. And made even more frustrating by the Chatbot/AI responses QB provides here lol. So according to what I've learned yesterday, this change is permanent and won't be remedied, make your decisions accordingly.
It looks like they might have rolled-back time entries to the previous version! I was able to make edits to entries tonight like I did before. Are you seeing the same thing?
