Under my contractors name, why does it say W-9, waiting for info? Does this mean the contractor filled out his W-9 incorrectly?

This is what it shows when I click on "document" tab.

Because this could be any number of missing things, let's have you do some troubleshooting. First, have the contractor double check that all info is correct and complete. You can send them a reminder email to ensure they're filling it out in the right place:

  1. Go to the Workers tab in the left navigation bar.
  2. Select Contractors.
  3. Click the contractor’s name.
  4. Choose to send a reminder.

This way, you can eliminate the possibility of missing information. Let me know how this goes and then e can always explore other options!

Thank you for reaching out to me, Jessica. When I click on payroll, contractors, it then shows my contractors's name, active, that the direct deposit is on. It does not give the option to view the W-9 like it did before.

Yes, you won't be able to view the W-9 in QuickBooks Online if the contractor hasn't completed the setup. You'll want to reach out to the contractor and advise them to click the link on the email so they can enter their W-9 info. You can also follow the steps shared by Jessica_young if you need to resend the email.

I am having the same problem. However, I do not have an option to send a reminder. I click payroll -> Contractors. At this point I can view the last payment or write a check. When I click the contractors name, it shows Personal Details, payments and Documents. There is not option to send a reminder. Please advise.

Welcome to the Community! I appreciate you chiming in on this thread about your contractors information. 

 

After doing more research on this issue with the "Send reminder" option, I've discovered that there was an on-going issue about this in June, 2022. However, it's been resolved.

 

With that being said, let's try the work around our Product Engineers provided. The work around is to make the contractor inactive, create a new profile for them, and send an invite again. Here's how: 

 

Note: Before creating the new profile, edit the old name so that you know the difference between the two.

 

  1. Go to the Payroll tab on the left-hand menu bar. 
  2. Select Contractors
  3. Locate and click on the contractor you need. 
  4. In the profile, under their name, hit the drop-down arrow beside Active
  5. Click to Make inactive

 

 

Afterwards, you can create the new profile for them and send an email: 

 

  1. Go through steps 1-2 from above. 
  2. Tap the Add a contractor option in the green bubble.
  3. Enter the name and email. Ensure that you put a check in the box to email the contractor to complete their profile. 
  4. Press Add contractor

 

It's that easy! I also recommend reviewing this guide before doing any steps to get more details on adding contractors

 

This should do the trick in order to allow your contractor to add their information. Come back if you have any trouble along the way. Have a great day!

Hi, I am stuck here.  When I click on the contractor (myself), I do not get the "Send Reminder" option.  My personal information is correct.  Please advise.

Hello there, @SheilaAnn1. I know a possible reason why the Send Reminder option is unavailable on your end. Let me elaborate on it in detail.

 

The Send Reminder feature is commonly used by employers or clients to prompt contractors to submit the necessary forms or information. If you have already provided all your personal details in QuickBooks Online (QBO), this explains why the option is no longer visible on the contractor's page.

Got it.  However, why does it still say "waiting for info"?  Please do not guide me to yet another article.  I just want the problem fixed.

Thank you for posting here in the Community space. I'm here to help you get rid of the Waiting for info message in QuickBooks Online.

 

You usually see the Waiting for info message when you've previously sent an email to complete the personal details. I recommend checking your email to determine if you still have the old link for updating personal details.

 

Check out this screenshot for your reference on the option's location on a contactor's profile:

 

 

If the problem persists, re-enter the personal details again. Here's how:

 

  1. Open the contractor's profile.
  2. Go to the Details tab.
  3. Click the Waiting for info option.
  4. Try to re-enter the information again.

 

If the issue continues, please proceed with contacting our QuickBooks Support Team. They can check this issue further to ensure it gets corrected.
