Using Customer Filter to Customize a Report

Is there a way to customize an AR Aging Report to always exclude a particular Customer?  In other words, I want to filter the report to always include all customers except for a specific one.  Since our customer base is dynamic, new customers are added continuously.  I cannot rely on a static filter to specify customers to include; rather, I want to specify a list of customer(s) to exclude.

 

Bottom line:  I want to avoid having to select all customers and then deselect this one customer each time I run the report.

Welcome to Community Space, @jis007. Let's team up to help you get through this and exclude a specific customer to prevent them from showing up in your Accounts receivable aging report inside QuickBooks Online (QBO).

 

When customizing a report inside the program, know there are sections you can access to set it to show specific data when generating them inside QBO. We'll write down the steps to get you going:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Reports tab.
  3. In the Search bar, enter A/R Aging Summary report.
  4. Click the Customize button.
  5. Scroll down to the Filter section and tick the box beside Customer.
  6. Click the Dropdown arrow and select the customers you want to show in your report. A reminder, those customers that were not chosen or box remained unchecked won't show up in your report.
  7. Once done, click the Run report button.

Thanks for attempting to answer my question.  Unfortunately, when I try your solution next week, newly invoiced customers won't be included in the report and I will have to redo the filtering.  I'm looking for a way to avoid having to update the filtering to include all customers, except for ones I want to intentionally exclude.

You can use the filter feature to exclude a specific customer from an A/R Aging Report in QuickBooks Online (QBO).

 

You'll need to select all customers except the one you want to exclude. Also, to show the newly invoiced customers in the report, you can set the Report Period to All Dates. You can follow the steps provided by my colleague, KurtKyle_M, to customize the report.

 

Once you've personalized the report, you can memorize it to save the current settings. This will help you avoid manually deselecting the particular customer each time. Here's how:

 

  1. After clicking Run report, select Save customization.
  2. In the Custom report name field, input a descriptive name for the report.
  3. If you want to add this report to a group, select Add this report to a group, then pick an existing group or create a new one.
  4. If you want to share the report with other users, select Share with, then choose the users.
  5. Once the desired options are set, click Save.

Rishika here from Better Reports!

 

I think our app, Better Reports, can do this easily. It is possible to filter the report to exclude specific customer(s) from the A/R report (screenshot below). By doing this, the report will not show any data related to the excluded customers unless you remove their names from the filter.

 

Also, there are other built-in reports available like “Customer Balance Summary sheet”, “Profit and Loss by Customer”, etc. We can create custom reports as well, based on your business requirements.

 

It is also possible to schedule the reports to be sent automatically to your email or Google Drive at a regular cadence.

But next time you come to run the report any new customers will not be ticked so will not be included in the report.

Ideally you should be able to say Not Specified and then tick one or more customers you want to exclude. Seems to only work for one customer selection though.
