vendor cheatsheet

Is there a screen that shows all vendors with their category? Or even most used categories that connect with a vendor?  I am trying to create cheat sheet to reference  while I am matching transactions? THANK YOU!

Hi there, @ELTC81224.

I'm glad to see you in the Community! Let me help you find a reference to use while you match the transactions. You can create a cheat sheet by pulling up the Transaction Detail by Account report. This report will show you the list of all vendors and their categories.

  1. Go to Reports.
  2. Enter Transaction Detail by Account in the Find report by name.
  3. Set the report period.
  4. Go to the gear icon and filter the report. Make sure to check the vendor and account box.
  5. Click Run report

See the attached screenshot for your reference:

          6.Click Save Customization

          7. Name the report by your choice.

          8. Don't forget to Save.

In order to view the report, go to reports again and enter the name of the report you've just saved in the Find Report by name section.

I've also added an article you can read through to help you manage your reports: Customize reports in QuickBooks Online

Let me know if you have additional concerns with your reports. I'm just a reply away.

This is great! Thank you! I am trying to build a cheat sheet with the Vendor and the Category it is most often assigned to.  I don't see a Category button in the settings dropdown choices.  Any suggestions?

Thank you!!

I appreciate you for coming back to the thread for adding some clarification about your concern, ELTC81224. Let me discuss how customizing reports works in QuickBooks. Then, ensure you can perform an alternative way to achieve your goal.

The Customize option in the reports helps you to focus on the details that you want to view. However, a Category button or viewing all vendors with their categories assigned isn't possible. Then, to show the default expense category that is allocated to vendors is only available on each Vendor profile.

Additionally, the Transaction Detail by Account report shows the total for each account in your chart of accounts. It includes the Source accounts and the Target accounts. With this, you can run and customize the stated report to show the various categories that are connected with a vendor entry. To do this, I recommend clicking the Filter drop-down and choosing the Distribution account box so you can select the right account.

Meanwhile, you can export the said report to Excel and customize it from there. That way, you're able to add some information to appear all or each vendor with their category.

Here's how:

  1. Select the Export icon on the Transaction Detail by Account report.
  2. Click Export to Excel.
  3. Complete further customization of your report.

Lastly, you may refer to this article to view steps on how memorizing a report allows you to save it with its current customization settings: Memorize reports in QuickBooks Online.

I'm always here if you needed more help with your reports in QBO. Just let me know in the reply section below, ELTC81224. Take care and have a great rest of the day!
