First you have 2 memo areas on the screen.  This causes problems when we want to do a report or it causes the entry to be corrected when balance sheet goes out of balance.  Those entries copy what i have entered on my lower memo and enter it on its own to the upper memo.  When out of balance, i have to delete the upper memo and save for it to record the transaction correctly.

Please change one of the memos to another name to not confuse the system reporting and throw out of balance.

I know how crucial it is to record the transaction correctly, frustrated50. Let me share some information about memo fields in QuickBooks Desktop (QBDT).

In QBDT, memo fields allow you to add extra details to a transaction, making it easier to track. When running a report, a memo from a lower field should not be copied or populated to the upper field, as it does not work that way.

The upper memo box contains information that'll appear on the Balance Sheet report, while the lower memo box provides details about the product items involved in the transaction.

If the issue persists, you can run the Verify Rebuild Data tool to help resolve common data issues within the system. You'll want to visit this reference for comprehensive information: Verify and Rebuild Data in QuickBooks Desktop.

Furthermore, changing one of the memo fields is currently unavailable. Thus, I recommend sending feedback to our software engineers so they can review your suggestion and consider it for future updates.

  1. Select the Help option and click the Send Feedback Online option.
  2. Choose the Product Suggestion option.
  3. Type in your feedback suggestion then click the Send Feedback button.

Moreover, if you want to personalize your reports according to your needs, feel free to scan the article: Customize reports in QuickBooks Desktop.

You're more than welcome to drop by if you have follow-up questions about reports in QBDT. Let us know and we'll lend a hand again.
