What is happening when a receipt is pending after a receipt scan? How long does this action take before I can categorize?

Hi there, @broganto

Let me share some information about the scanned receipt feature in QuickBooks Self-Employed. When you scan your receipts, they will show as pending for approximately 24 hours. The system searches for a possible match within your account, like date, description, and amount. If it's unable to find a match or there are multiple potential matches, you'll have to click on the Need Action alert to review the transaction.

Here's how:

  1. Go to the Transactions tab, then tap the Plus (+) sign.
  2. Select Snap receipt.
  3. Choose a photo from your camera roll, or take a new picture. QuickBooks Self-Employed will take the info from the receipt and enter it for you. While it's working, you'll see your receipt in the Pending section.
  4. In the Needs Action section, open and review your transaction.
  5. If you need to, add or correct any details.
  6. Hit Save.

This will create a new transaction in QuickBooks Self-Employed to match receipts. After that, you can categorize the transaction.

I've also attached some articles you can use to manually add transactions and get receipts from your email:

Drop me a comment below if you have any other questions. Have a great day ahead.

I have uploaded some receipts after taking some snaps but they aren't showing anywhere.  Am I missing something or haven't they uploaded properly in the first place?

Hello @Saribrta,

I'm glad to see you dropping by here in the Community. I can help you with your concern about uploading receipts in QuickBooks Self-Employed.

It'll only take a few seconds for a receipt to upload into our system. I'm not sure where you've checked, but receipts should show in the Transactions section.

I recommend filtering the data to Unreviewed to easily find the uploaded receipt. Here's how:

  1. Access your Self-Employed account via browser.
  2. On the left navigation bar, click Transactions.
  3. Click the drop-down arrow next to Type.
  4. Choose Unreviewed.

In case you're using the mobile app, please follow these steps:

  1. Open the app.
  2. Go to the Transactions menu.
  3. Select the Unreviewed tab and look for the receipt.

If it didn't upload, try uploading the receipt directly using a web browser. Here are the steps:

  1. Go to the Transactions menu.
  2. Select Add receipt.
  3. Upload an image of your receipt.

Also, transactions you import or data that downloads from a connected online bank account are pending for review. You can use this link as your guide on how to categorize income and expenses in the Self-Employed version: Categorize transactions in QuickBooks Self-Employed.

Feel free to hit that Reply button if you have additional questions about scanning receipts or managing expenses. Have a great day ahead.
