What permission is required for a role to view shared custom reports?

As an admin, I created a custom report. I clicked Share. It says "Visible to anyone with access to report.". However, I had a user go to Reports and though they can see it in the list, when they click on it, it says "Permission denied".

How do I give a role "access to report"?

Note that this test report literally just lists the names of all projects.

What permission is required for a role to view shared custom reports?

Properly managing user permissions is essential for effective collaboration and data sharing within your organization, Scobee. I’m here to assist you in ensuring your users have the necessary access to your custom reports.

The required permission for a role to view shared custom reports generally involves having a report-level access, which must be granted by the report owner or an admin. Understanding the various user roles that can access custom reports is crucial for maintaining data security and operational efficiency. Below is an extended list of user roles typically granted access to reports:

  • Standard all access
  • Accounts receivable manager
  • Accounts payable manager
  • Standard limited customers and vendors
  • In house accountant
  • Company admin
  • View company reports

I'll add this article for more info: User roles and access rights

Additionally, any users who are added after the custom report has been created will not automatically gain access to it. Only existing users will have permission to view it. In such situations, I suggest deleting the existing custom report and then recreating it. Here’s how you can do that:

  1. From the Custom reports tab, click the drop-down arrow next to Edit.
  2. Choose Delete.
  3. Click Yes to confirm the action.

Understanding how to manage user roles and permissions is essential for maintaining the security and efficiency of your financial operations, Scobee. Feel free to share your questions or concerns, and I will do my best to assist you in navigating the complexities of role management in QuickBooks Online. Your inquiries are valuable, and together, we can enhance your understanding and utilization of this powerful accounting tool.
