When using the S Corp Health Insurance added income type am I able to use that for short term and long term disability? QB does not have a specific one for STD and LTD

Good to see you here, @WoodsTrans.

In QuickBooks, there's no specific option for STD and LTD, but we can use the S Corp Health Insurance for the setup. To proceed, you can follow the steps below:

  1. Choose Workers, and then select Employees.
  2. Click the employee's name
  3. Choose the edit (pencil) icon beside Pay.
  4. In section 3, click the edit (pencil) icon.
  5. Maximize Even more ways to pay employee. Then select S-Corp Owner's Insurance.
  6. You can add the Recurring amount if you want.
  7. Lastly, click Done.

For detailed info, you may consider checking out this article: Set up an S-corp medical payroll item for your corporate officers. This we'll show you how to set up the S-Corp pay type and how to record each of the options in your Online Payroll account.

Additionally, let me share this link to help you establish a group term life insurance payroll item. This will guide set up you if you have employees who have more than $50 000 of company-paid GTLI.

Thank you. He also has dental and vision. Do I just combine them with STD and LTD all in the S Corp Health Insurance wage type? Also the instructions link gives instructions for recording this. I am not at all clear if I need to record this and if I do am I supposed to record it every pay period? I called in yesterday and customer service was not able to answer any of this.

The link above to set up and record S corp health insurance is broken. Is there a new link?

Hello, shawnaco.

I'll lay down the updated link and help you set up the S-corp health insurance in QuickBooks.

Yes, we've updated the link for the S-corp health insurance guide for QuickBooks Online. We can take a look at the new article here: Set up an S-corp medical payroll item for your corporate officers.

Although, I can also lay down the steps to help you set up and record the S-corp health insurance.

Setting up the pay type:

  1. Go to Payroll, then select Employees.
  2. Open your employee's profile.
  3. Go to the Pay types section, then click Edit.
  4. Scroll down to Additional pay types, then check S-corp Owners Health Insurance.
  5. Add a recurring amount if needed. We can leave it blank if you want to enter a custom amount (entered during payroll).
  6. Click Save.

Recording the S-corp insurance:

  1. Go to Payroll again, then select Employees.
  2. Click the arrow icon beside the Run payroll button, then select Fringe benefits only.
  3. Select the tax payment setting, then hit Continue.
  4. Set the Pay date, then check the employee in question.
  5. Enter the S-corp insurance amount.
  6. Preview and submit payroll.

After running payroll, I'm sure also need to review their year-to-date numbers and the current S-corp insurance amounts. Check out this article if you need help running some payroll reports: Run payroll reports.

You're more than welcome to drop by again if you have other questions about setting up pay types for payroll. If you need assistance managing your payroll taxes, entries, and lists, please let us know, and we'll chime in to help again.
