I understand how important for you to be able to utilize the expense submitter role. As an admin, you have the authority to invite employees to the "Expense Submitter" role and set up expense categories that will be visible to them during the submission process. However, it's important to note that employees with this role will only be able to submit expenses. They won't have access to view or record any information directly in the books. They can simply submit their expense receipts directly into Advance using their web browser on either a mobile device or desktop.

I have an employee whose job it is to process credit card expenses. However, I've tried creating a special role and have used some of the preset roles to give her access to the mobile app without giving her access to other areas, but QB online is not allowing me to turn on her access. I have several other employees using it already. Plus, I cannot find topics regarding the roles that do have access to the mobile app.

Firstly, the QBO mobile app only supports admin and standard full-access roles; users with other roles must use the web version. Let your employee manage the credit card expenses through a web browser. You can review this article to learn more about managing user roles and who can access the mobile app: User Roles and Access Rights.
Additionally, there's a limit to the number of allowed user roles in the program, depending on your subscription. If you've reached the user limit, you can delete unnecessary users and add new ones. I'll guide you through the process below.

She is already in the system as a registered user. I still have user licenses available. It is simply the mobile app that it won't allow me to give her access to. How do I resolve this?

The QuickBooks Online mobile app only supports "Admin" and "Standard All Access" user roles. If you have a different user role, you will need to access QuickBooks Online through a web browser to manage permissions and access features not available on the mobile app; essentially, you cannot change user roles directly within the mobile app itself.
