Why are some of my services/products not showing up while trying to create a Purchase Order?

one of my products already entered as a service/product will does not show up as an option while trying to create a purchase order, when I try to add a new service/product, it says a product with that name already exists.

Your products and services didn't go anywhere because you can still locate them in QuickBooks Online, yesenia2. Rest assured that I've got the steps to resolve this.

 

To start, I'd suggest making sure that you enter the details needed in the Purchasing information section. Here's how:

 

  1. Go to the Gear icon and then select Products and services.
  2. Locate the item you created.
  3. Under the Action column, click on Edit.
  4. Go to the Purchasing information section.
  5. Place a checkmark on the I purchase this product/service from a vendor box.
  6. Enter the other necessary details. 
  7. Once done, click on Save and close.

 

If the details are already entered, I'd suggest logging in to your QuickBooks Online account via a private window. This doesn't use the existing cache files, which makes it a good place to determine if this is a browser-related issue.

 

Here are the keyboard shortcuts: 

 

  • Safari: Command + Shift + N 
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P 

 

Once logged in, create a purchase order. If all the products show, let's clear the browser's cache. This removes its stored files to ensure the program performs efficiently.

 

If private browsing doesn't work, I'd recommend using other supported browsers. They'll provide the best and most secure experience with QuickBooks.

While trying to create an invoice my drop down menu for products/services is not showing up causing me to have to scroll through all the products rather then starting to type the product and the item pops up

I've had  the same issue going on a year right now. I've tried Private browser. I've tried Chrome, Safari, Firefox. Empty Cache, Cookies, nothing changes. I've had an open ticket with Quick books to no resolve. I can see all of my products / services list when I open the Products/services menu but when I try to setup a new invoice the Products/services drop down only shows a few options instead of all

MY Solution: I was having similar problems with half of my products/services showing in the drop-down box but NOT populating the field when selected. Our invoices use a complex "bundle" to track multiple commissions on our invoices. I couldn't access the bundles and I wasn't open to re-entering all the preconfigured data. Here is the workaround:

 

Begin typing the first couple of letters of the product or service and QBO will quickly provide a contexual popup that contains the missing products/services. Then just select from the "new" dropdown box the appropriate entry and it will populate.

 

It still adds a step but saves hours of data entry.
