Before anything else, we'd like to take this opportunity to thank you for allowing the Community Team to help you with your current situation. We aim to provide a concise information to ensure you're able to address this situation on time. Reading your post, you may want to check the Audit log report to ensure no one is accessing and unclearing transactions inside your register. These are the steps:

 

  1. Access your QuickBooks Online company.
  2. On the top-right corner, click the Gear icon and select Audit Log.
  3. Click Filter.
  4. Use the fields on the Filter panel to choose the appropriate User, Date, or Events filter to narrow the results.
  5. Select Apply.

Also, whenever you clear transactions from the register, you'll want to ensure to click the Save button for the changes to apply inside your company file. If you've selected the Save button and the issue persists, we can perform some basic troubleshooting steps to rule out the possibility of having issues with your browser. Access your account in an incognito or private browser through these shortcut keys:

 

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

Once you're in, check if your transactions are still cleared. If it works and there are no changes to cleared transactions, you can proceed to clear your browser's cache. Refer to this article for the steps: Clear cache and cookies to fix issues when using QuickBooks Online.

Why is that items I've "Cleared" do not remain cleared? This has started happening over the past 2-3 months, but wasn't happening prior.

In the audit log, I see Sep 14, 2023 7:33am "user" System Administration "events" changed settings.  This is being done at QuickBooks.  Why are you changing my settings?

 

This started happening a couple months ago.  I went back in cleared items going back to 1/1/2023 and now most are uncleared.  This hadn't happened in 2021 or 2022.

To clarify, did you try the web browser troubleshooting steps my colleague shared above? If not, I encourage you to give that a shot. Web browsers collect cache to save time when loading repetitive data and images. Over time, these files can become outdated and corrupted, causing issues like cleared items showing as not cleared.
