I am trying to get the Form 941 for Q1 2023 on QB Online. It is not showing up in archive

Pleasure to have you here in the Community space. Allow me to share a guide on accessing and reviewing Form 941 in QuickBooks Online (QBO).

In QuickBooks, users can view the previous 941 forms containing payroll and tax details, providing helpful insights into past reporting and compliance activities. The process of viewing and printing your tax forms differs depending on whether you choose to e-file or print and file manually.

If you have filed your tax form manually, here are the steps you can follow to archieve the form:

  1. Log in to your QBO account.
  2. Go to the Taxes tab and select Payroll Tax.
  3. Under Payroll Tax Center, click on Filings.
  4. Next to the 941 tax form you want to archive, select File.
  5. Review the period, then click Record Filing.

Here's how to view the form:

  1. Go to the Taxes tab and select Payroll Tax.
  2. Under Payroll Tax Center, click on Filings.
  3. Select the Resources option and click on Archived Forms and Filings.
  4. Search for the form type you want to view and filter out the dates.
  5. Review the form carefully before proceeding to print it for your records.

You can follow these steps if you've e-filed your tax form, or QuickBooks filed it for you:

  1. Go to the Taxes tab and select Payroll Tax.
  2. Under Payroll Tax Center, click on Filings.
  3. Access your current tax forms under Action Needed or Coming Up
    • If available, select Preview from the dropdown, to see any forms that haven't been filed yet.

For more guidance, please refer to this article: View your previously filed tax forms and payments.

In the meantime, let's check if it's a browser-related issue since you've mentioned you're having trouble viewing archived forms. We can start by opening your account in a private window as it ignores historical data. These are the keyboard shortcuts:

  • Mozilla Firefox: CTRL + Shift + P
  • Microsoft Edge: CTRL + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

If you can now view your archived forms, then it's likely caused by your browser. You'll want to clear your regular browser's cache.

Also, let's ensure any pop-up blockers are disabled, as they may block QBO from displaying archived forms. I'll guide you through the process of turning off a pop-up blocker in Chrome:

  1. Click on the three dots located in the browser's toolbar.
  2. Choose Settings and select the Privacy and Security section.
  3. Click on Site Settings.
  4. Choose Pop-ups and Redirects.
  5. Locate the Allowed to send pop-ups and use redirects option, then click the Add button.
  6. Enter the QBO domain name and click on Add.

Furthermore, you can check out this article to learn how to enter tax payments documented outside of QuickBooks: Record tax payments made outside of QuickBooks Online Payroll.

Please keep us posted if you have additional questions about tax forms or any QuickBooks-related concerns. I'm more than happy to assist. Take care.
