Please scrap sale tax processing module and start over

The sales tax processing module is so poorly designed that it's really no use.

1) Doesn't fit the Sales tax filing model in California.

I know California is a small state, so probably not worth your time (sarcasm), but the process implemented in QBO does not fit Californias requirements for small businesses.  For many small businesses we're required to file deposits 2 times per quarter and then file a return at the end of the quarter.   Not only does QBO not support this, but the functionality baked in doesn't even have the correct due dates.

2) For restaurants, credit card tips are recorded as a non-taxable sale.  Tips are not sales.  They have to be booked because we receive payment for these, but by no means are they sales.

3) Just recording a payment made is a mystery?  Where's the "Pay taxes" button for cyring out loud.

Please scrap sale tax processing module and start over

Hi there, @jgenshlea.

We understand the desire to seek help with the process of managing sales tax in QuickBooks Online (QBO). We recognize that some features in QBO are a bit challenging, especially with filing sales tax, so my priority is to provide you with some information and troubleshooting to get this issue remedied sooner. Let me address some of your issues below:

In the first scenario, we can set up custom tax rates for other types of taxes, and please note that you can file and pay those dues outside QuickBooks. Then for recording purposes, you can enter it in your QBO account, and also, with regards to the due dates, it will based on how you set up the frequency of your sales tax.

Next, to record your tips correctly, you'll have to ensure the affected account for the Tip item is accurate. See this article for more details on managing Tips in QBO: Turn Tips on or off for sales forms in QuickBooks Online.

Moreover, when you want to record your sales tax payment in QuickBooks after filing zero out your sales tax payable, you'll need to click the View tax return option first to see the Record payment button. Check this article for guidance: File your sales tax return and record sales tax payments in QuickBooks Online.

Lastly, you'll want to share your ideas with our Product Development Team regarding the process of managing sales tax in QBO. That way, they'll get the time to know it and consider them for future updates. Follow the steps below to submit a request to our product developers.

  1. Go to the Gear icon.
  2. Under the Profile column, select Feedback.
  3. Share your suggestion, then click Next.

You can track your suggestion through this website: QuickBooks Online Feature Requests. You can also visit our blog to keep up with recent events and developments.

We'll add this article for additional details on managing sales taxes in QBO:

Furthermore, if you want to get a detailed look at the taxes you owe and why you owe them. You can run the Sales Tax Liability report to view your sales tax info anytime. Check this link for reference: Check how much sales tax you owe in QuickBooks Online.

Hope this goes well so you can get back into business soon enough. Let us know if you need more help with your company file. We're available 24/7 to back you up. Stay safe and have a good one, @jgenshlea!

The Sales Tax process is not a "bit challenging" it is completely useless.  None of the Sales Tax related reports provide all of the sums that are needed to be able to fill out the online filing for the CFTDA (California).  For example - the QBO Sales Tax Liability Report was changed and the column which used to calculate gross sales to exempt customers was omitted at some point which now makes it impossible to separate sales (labor/materials) to taxable and exempt customers.  This whole system is a joke.  I have been browsing this "expert" forum for two days and there is not a single contributor who can even grasp the issue correctly, you all just provide a canned response on how to customize reports - none of which is helpful.  Additional little gem that multiple other customers already pointed out is that when you drill down into the Sales Tax Liability Report the drill down data differs from the very column you are drilling into.  It is unfathomable that for the last 4 years that the automated sales tax feature first came out in QBO, Intuit has not been able to figure this out, worse, reports that worked perfectly in the Desktop version have completely been destroyed in QBO.  Fix the problem and stop allowing incompetent people to contribute solutions on these forums - they create more confusion than they solve problems.  How about one of the "experts" here actually take the time to research what the CFTDA online filing requires, understand the issue and only then respond?  Does this make the question it clear enough for all?

You said it better than I ever could have!  To file sales taxes I have to run about 3 different reports and plug the numbers into a spreadsheet to simply get taxable sales and non taxable sales.  It really shouldn't be this complicate. Moreover, Intuit invests more effort in supplying canned answers than fixing the problem.

I can get any one started in using the sales tax module, using correct set up and operation as the module currently functions, but you have to admit the sales tax functioning in QBO could use some programming work #intuit #engineers @linkedin.  For instance Nexus tracking from products and services sale tax set up doesn't make sense and is too rigid.  Unless QBO programmers connect the products taxability by situs of the transaction (ship to address).  The search function was a good idea for product situs but it should be a feature of the See the Math (ship to address), not the products and services section. In addition, if you could enter all US and Foreign Zip Codes to the Nexus tracking feature with the ability  to track by zip code in the Sales Tax Module, rather than just "State", that would be more appropriate to track sales by zip codes, both foreign and domestic.  The buyers zip would then be used as guide to (with number of transactions per zip code to separate destination and origin based states) Nexus tracking. A report by zip code for dollar amounts, then could be used to calculate the total liability per zip code by number of transactions.   The seller should collect the tax for the state where the property is delivered to the customer. If the module is set up to track zip codes and Nexus thresholds are met the seller will be able to instantly run a report to determine if they should register for a State Tax License.  If the seller ships items into a state where it doesn’t have nexus, no tax should be charged by the seller.  If the seller is not registered they will not collect sales tax.  However, in this case, the buyer has the obligation to remit use tax to the state where it uses and consumes the items.
