Join nowI have QB Desktop Enterprise and was trying to efile W2, but I got an error message that QB can't create the form because more than 800 employees were paid. What can I do about that?
It's nice to see you in the QuickBooks Community, @184994. You can select fewer employees when creating W-2s in QuickBooks Desktop (QBDT) to resolve the error message, and I'll be happy to guide you on how.
The QBDT form engine doesn't support W-2 forms for total earnings greater than $9,999,999.99 or more than 800 employees.
As a workaround, you can refer to the steps below to select fewer employees when e-filing W-2s.
Additionally, you'll want to print W-2s if you send paper copies to your employees or for your own records.
Keep in touch if you need further assistance e-filing your W-2s in QBDT. Our team is committed to providing answers to your concerns. Take care, and have a great day ahead.
I appreciate your prompt response, @184994.
Let me share some information and further assistance on your Utah State W2 E-file.
The current version of QuickBooks can generate W2 forms (federal) for over 800 employees, but it doesn't support state forms yet. As a workaround, you can process the W-2 forms in groups.
Here's how:
1. Open the Select Payroll Form window and select Form W-2/W-3.
2. In the Process W-2s section, select the Employees with last names from the option.
3. Click the from and to drop-down arrows, and specify a range of letters that identify the employee group. These letters should be the first letter of the employees' last names and must be in ascending alphabetical order, with a length of 4.
4. In the Year field, enter the tax year. Click OK.
5. In the Select Employees for Form W-2/W-3 window, click Review/Edit to review the W-2/W-3 forms for the employees in the employee group.

RE:
Why would you lead a customer to the Federal W-2 when he asked about the Utah W-2? The customer is asking about the form in QuickBooks that is named "UT State W-2s - UT State W2s Worksheet (E-file Only)".
It's right there on the list of forms QuickBooks supports. All you have to do is look at the list of UT forms, like I did. It's really super-super easy to fire up QuickBooks and, you know, look at it. You'll discover all sorts of things, like how it works!

Sure it does! The customer is asking about the form in QuickBooks that is named "UT State W-2s - UT State W2s Worksheet (E-file Only)" It's right there on the list of forms QuickBooks supports. All you had to do was look, like I did. I knew nothing about the form five minutes ago, and now it seems know way more than you, the supposed QuickBooks expert:

How is creating a Federal W-2 going to help the customer e-file W-2's with Utah? It's not, is it? I suggest keeping non-workable suggestions to yourself. It'll make you look smarter.
