W2 submission afrter deadline

I didn't file or submit a W2 for my 2023 taxes (for myself). I am my only employee and I run payroll for myself.

 

How can I do that and is it too late?

@tuckerkistner  I cannot speak to QBO's electronic transmission capabilities after the fact, but I will say this:

 

While there is an electronic filing requirement, it is for businesses with 10 or more employees.

 

It is still acceptable to mail in the W2 and W3 if you have fewer than 10 employees, but in any case, I expect you'll be facing some amount of late filing penalty.

 

There should be mailing instructions available when you print the form out. There certainly are in QBDT.

First, I'd like you to know that you can still file and submit your 2023 W-2 form, but you'll incur late penalties as it's already past the deadline.

 

You must file and submit the tax form manually since late forms are not eligible for e-filing. Here's how:

 

  1. Secure a W-2 paper if you're printing from QuickBooks. We recommend ordering W-2 kits through us to make sure they print correctly. 
  2. Once done, sign in to your QuickBooks Online(QBO) account.
  3. Go to Taxes, then Payroll Tax.

  4. Select Filings and pick the W-2 form.

  5. Click the dropdown, then tap View and Print.
  6. Press the Print icon in the upper right corner, then hit Print.

Then, you'll need to mail this to the IRS. The instructions are located in your printed form. You can also check this website for Forms W-2's general instructions: https://www.irs.gov/instructions/iw2w3.

Hi there. Adding to this thread. Once I print them can I click filed. -

as in mailed- I assume it will mean so the employees who have workforce login can print and use from their side. ? If makes sense

Yes, Rbrising. Your employees can view and print their W-2s via Workforce after filing and archiving them in QuickBooks Online Payroll.

 

Once marked as filed under the Filing section, you need to click the Record Filing button, then press Done, and finally archive it.

After the archiving process, Intuit will send you an email confirmation. This notification assures you that the W-2s have been successfully downloaded and are accessible through Intuit Workforce. Then, your employees with access to Workforce can view, print, and use their W-2s.
