W3 Manual Entry/Reconciliation

URGENT: Need to manually separate & correct 2022 payroll using only Gusto checking deductions and W3 report. I built "old school" client's QB Desktop 2023 records based on only paper bank statements. Now need to breakdown annual payroll expenses, but total Gusto non-fee payments do not match W3's Boxes 1, 2, & 3 figures together. Also bonuses and vacation payouts do not appear to be recorded in Gusto. Requesting step-by-step, visual or video guidance.

Many thanks from Southern California!

W3 Manual Entry/Reconciliation

Thanks for your time posting in the Community, @SPTSBookkeeper. I'd like to provide steps to enter your payroll transactions using your Gusto checking account manually.

You'll want to pull up a Payroll report in QuickBooks Desktop. This way, you'll be able to compare payroll details from Gusto. Here's how to access them:

  1. Go to Reports, then Employees & Payroll.
  2. Select the report you want to view.
  3. If applicable, you may Customize Report.

From there, it helps you manage and keep track of your payroll expenses and other transactions.

Another way around is to contact the Gusto Support team. They have tools for a screen-sharing session to guide you on the visual process to get around this issue. You can get their contact details through their page.

To learn more about accessing and personalizing those reports in QBDT, check out this article: Run payroll reports.

On top of that, I'll be adding this helpful resource for organizing your accounts and transactions: Reconcile an account in QuickBooks Desktop.

I'm always ready to assist you if you have any other questions or concerns about your payroll-related concerns. Tag me in your reply, and I'll sprint back into action. Keep safe always.
