Account management desktop payroll

Had 1 desktop quickbooks that ran 3 different companies on it.  2 of the companies had no payroll (Non-Profit) and the other company was a for profit that had payroll. They were under the licence of the non-profit.   The companies split- the 2 non-profit stayed under the original license and moved it to a different computer and location.  The for profit company backed up their books and deleted their quickbooks off computer and then purchased a new quickbooks desktop under their own name.  They also purchased a new payroll subscription.

Problem: when the companies books were put into new desktop it still shows the payroll under the old license.  Is there anyway to move the for profit payroll without losing the data to the new license, so that the

split is complete.

Let's get you connected to the right that can properly address your payroll concern, cam130.

We can remove your previous payroll subscription and move it to the new license in QuickBooks Desktop (QBDT). This process can be done if you're not using the following features:

  • Direct Deposit
  • QuickBooks Workforce
  • Workers' Comp
  • QuickBooks Desktop Payroll Assisted service
  • QuickBooks Desktop Payroll Basic/Enhanced with employee fee.

If you utilize any of the mentioned services, I advise getting in touch with our Payroll Support Team. They have tools to transfer payroll to the new subscription and ensure that it is associated with the correct EIN.

However, if you don't fall into the above list, follow these steps to remove the service key:

  1. Create a backup copy of the company file.
  2. In your QuickBooks, head to the Employees menu at the top bar to choose My Payroll Service and Manage Service Key.
  3. In the QuickBooks Service Keys window, go to the Service Name column and highlight the payroll subscription.
  4. Select Remove or press Alt + 0 (zero) on your keyboard.
  5. Click Yes to confirm the action.

Here's an article that covers all the details of this process: Remove the payroll service key.

Next, add the payroll feature to the new QuickBooks license. In addition, this reference will walk you through the process of setting up the service: Get started with QuickBooks Desktop Payroll
