Chart of accounts management

In the chart of accounts I have an asset account called "Horses", and within that account I want to show the horses alphabetically.  On my iMac I can merely drag and drop each horse account alphabetically.  On my MacBook Air this doesn't work.  The sync feature coordinates the transaction activity but does not sync the desired account sequence.  Help!!!!!

Hello, @mbartz37.

 

Thanks for posting in the Community. I'm here to help figure out why you're unable to drag and drop your accounts in the Chart of Accounts.

 

You should be able to drag the accounts using MacBook Air. You'll just need to make sure that it's the same account category. You also have the option to Edit the account and select Subaccount of

 

Since you're having trouble dragging the accounts, it's possible that there's a functionality issue within the software. Let's try performing an update first of your QuickBooks software in your MacBook Air. 

 

Here's how: 

 

  1. Go to the QuickBooks Desktop menu and select Check for QuickBooks Updates.
  2. If a newer version of QuickBooks Desktop is available, click Install Update.
  3. When prompted, click Install and Relaunch. When the update is complete QuickBooks Desktop for Mac will automatically open.

This should help your QuickBooks Mac to function successfully.

Help! Brand New QB user..... Same trouble with wanting my Chart of Accounts alphabetical. I have 5 different categories and have put a letter in front of the number to categorize them. ATP, C, F,K,P, PD. Example, K-941 is an Expense acct. for my business Knot Crazy! K-615 is a Knot Crazy! Income acct. I realize all the Income accts. will be together, Expense accts., Fixed Asset etc. will be categorized;  but there is no order in these accounts. I have messed around with 'Type' arrow above the Account column, but it only toggles between 2 different options and neither is alphabetical. Any suggestions welcome THANKS!

 Hi there, Knot Crazy. I love your business name, by the way.

 

I'd like to provide some info regarding reordering your Chart of Accounts.

 

Once you've checked the Enable Custom Ordering button, you should be able to click and drag each account to be in alphabetical order. Since the chart is now totally customizable, you'll have the freedom to order however you'd like, but the system won't automatically sort alphabetically.

Sure thing!

 

The Hierarchical View will indent certain accounts, like sub-accounts, to basically show a breakdown of the "hierarchy." On the other hand, the Flat View will have no indention, only showing the main accounts without subs.

 

That's how I've always explained it so hopefully it makes sense! I'm here if you need help with anything else.

You've been super helpful, Thanks Much! I'm up to my eyeballs getting our financials in order for the accountant/Taxes.... will keep asking as long as you are answering :) I used Moneycounts program for 30 years... its been out of business for probably 10yrs at least, but it was working. Just made the jump to QB for 2019 and the learning curve has been brutal, but getting there slow but maybe sure...

 

I need to view information, all details on an income account, how can I pull that acct info out?  We have several business that I'm reporting on and need to be able to view/print out info on certatin accts. Looking in Reports and searched, no luck....hoping for another clue :)

How about pulling up all transactions for 1 name? Say I want to see all transactions with the "City of Cordova" how/ where do I go to pull that info up? TIA

Glad to have you back here in the Community, @Knot Crazy.

 

You can pull the Transaction Detail by Account report to view the entries of your desired account. 

 

To do that:

  1. Click on Reports at the top menu bar.
  2. Select on Accountant & Taxes.
  3. Choose the Transaction Detail By Account.
  4. Hit on the Filters option at the top of the report.
  5. Put a check-mark for Accounts.
  6. Choose Selected accounts and select the account for the City of Cordova.
  7. Tick on OK.
  8. Click on Apply.

Actually, I don't think you answered my question, but I did really need to know this info! It allowed me to check' all my F-, P-, PD, and K-  accounts so I can group them together, super helpful. My question was pulling out all transactions with the City of Cordova, a vendor. Maybe your instructions will work for this too, will check it out. Thanks!
