How can I get only tax exemptible , and not the non tax exemptible, contributions on our donor/contributor's year-end tax report?

We use a report customer transactions that we give to contributors/donors at the end of the year for tax purposes.
We are a church. We have line items for tax exempt donations and also non tax exempt donations. If someone is paying for a conference, camp fee, youth event, speghetti dinner, etc...that falls under non tax exempt and can not be on their year end report. When I print this report, it shows ALL transactions. I do not see an area to only include the tax exempt donations. Can you help me out?

Welcome to the Community space, @mary171.

When running reports in QuickBooks Online, there isn't a way to exclude the taxable transactions. Meanwhile, I recommend that you make use of the Transaction Detail by Account report. This way, you'll be able to see the list of taxable and nontaxable transactions. After that, you can export to Excel and manually delete the taxable transaction.

Let me guide you on how to do it step by step:

  1. Go to Reports.
  2. From the Find report by name dropdown, enter Transaction Detail by Account
  3. Click Switch to classic view.
  4. Click Customize, then select Change columns.
  5. Scroll down and tick TaxableTax NameTax Amount, and Taxable Amount
  6. Click Run report.

If the Taxable column shows "Yes," the transaction is taxable. If the Taxable column is empty, the transaction is tax-exempt. You can export the report to Excel and delete the taxable transactions manually. By doing this, the taxable transaction will not be visible and you can now send a copy to your contributors/donors.

For future reference, to help determine if your transaction or customer is exempt from sales tax and how to set up a customer or product with a tax exemption. You can check out this article: Understand and set up sales tax-exemptions.

How can I get only tax exemptible , and not the non tax exemptible, contributions on our donor/contributor's year-end tax report?

After I click "Customize" and "Change Columns"

there is not an option to click on TaxableTax NameTax Amount, and Taxable Amount.

  1. Identify Tax-Exempt Donations:

    • First, you'll need to ensure that your donation records are properly categorized as either tax exempt or non-tax exempt. This may involve tagging or labeling each transaction in your accounting or donor management system accordingly.
  2. Filter Your Report:

    • Most accounting or donor management software allows you to filter the data you want to include in a report. You should look for a filter option when generating your report. Depending on the software you use, you can typically filter transactions based on the tax status (i.e., tax-exempt or non-tax exempt).
  3. Customize Your Report:

    • If you can't find a specific filter for tax exemption status, you might need to customize your report to include only the data you want. This could involve creating a custom report template or modifying an existing one.
  4. Run the Report:

    • After setting up the filter or customization, run the report. Ensure that you are only including transactions marked as "tax-exempt."
  5. Review the Report:

    • Carefully review the report to make sure it contains only tax-exempt donations. You can also verify this by cross-referencing the report with your records.
  6. Exclude Non-Tax Exempt Donations:

    • If there are non-tax exempt donations still showing in the report, double-check your filters and customization settings. Make sure that only "tax-exempt" transactions are being included.
  7. Export or Print:

    • Once you are satisfied with the report, export it to the desired format or print it for distribution to your contributors/donors.

Hey mary171,

Thanks for reaching back out! I checked this on my end, and I see the options the agent mentioned. I then checked to see if the version of QuickBooks Online could be a factor, but all our services have this option. Is it possible for you to provide a screenshot of the Change Column options? This will be very beneficial in finding a solution here.

I will be looking forward to that! See you soon. Bye for now.

The best way to create donor statements from your QuickBooks transactions is to use a tool like our BRC Donor Statements - QB Online , which will create an individual statement for each donor, and includes all of the required information on the statement. When using it you can specify the accounts that are reportable donations, as well as the items that are reportable.  In this way you can filter the non-reportable funds received either by account or by item or both out of your donor statements.
