How do I backup my company file to my desktop?

If you're new to QuickBooks Online (QBO), Stewart. The Advanced version provides the option to back up your data. For QuickBooks Desktop, there are two methods you can use for data backup. Here’s some helpful information to guide you.

 

Backing up your company files in QBDT ensures that all the information within your company file is preserved. This encompasses your accounting data, templates, letters, logos, images, and related files like QuickBooks Statement Writer, Cash Flow Projector, Business Planner, and Loan Manager. It is important to remember that payroll forms are not part of this backup. With QuickBooks Desktop you can choose two options for backing up your data: Automate the process or perform it manually.

 

Here's how:

 

  1. To switch to Single-user Mode in QuickBooks, navigate to the File menu and choose Switch to Single-user Mode.
  2. Next, return to the File menu, hover over Back up Company, and select Create Local Backup.
  3. In the subsequent window, choose Local Backup and click Next.
  4. In the Local Backup Only section, click Browse to select the location for saving your backup company file.
  5. You can also specify the number of backups you wish to retain, though this step is optional. In the Online and Local Backup section, opt for Complete verification to ensure your backup file is intact before saving.
  6. Once you are prepared, click OK. Then, choose Save it now schedule future backups, and proceed by clicking Next.

 

If you like to use QBO data, you can create a backup in QBDT and use Migration Tools to move your company file from QBO to Desktop.  Then open it on the desktop, and create a backup right away.
