Hello Krusso1229,
Thank you for reaching out to the QuickBooks Community! In order to achieve this you would need to run and customerize the Vendor List and the 1099 Contractor Balance or Detail report and merge these reports in Excel. Here is how to run the Vendor List Report and add that customization:
For the balance information, use the 1099 Contractor Detai to Balancel report, and follow the steps above. Once both reports are in excel, make further adjustment and you should have it!
If you have additional questions, don't hesitate to let us know! We are here to help. See you soon.
When I try to export the Vendors to include their tax ID number into Excel, QBO encrypts the tax ID number. How do I get Quickbooks online to stop doing that? I need the tax ID numbers to file the1099s. Thanks for your help.
When I try to export the worksheet into Excel QBO encrypts the tax ID number. I need the tax ID number in order to prepare 1099s. How do I get QBO to put the correct tax ID number into the exported spreadsheet? Thanks again.
I acknowledge your effort in trying to export vendor data to a worksheet from QuickBooks Online (QBO), @Krusso1229. Let's work together to ensure the Tax ID number won't be encrypted in the exported worksheet.
Before anything else, I'd like to know whether you ran the report in Modern View or Classic View displays.
There have been reported cases of data being encrypted when exported to a worksheet or Excel using the Modern View report display.
As a workaround, you can click the Switch to classic view button to ensure the vendor Tax ID number displays correctly after exporting.
You can use the photo below as a reference on how to Switch to classic view on the report page:
Additionally, QBO relies on the data entered into its system.
Also, I recommend contacting the QBO Care Team to review your account and further investigate the issue of exporting reports from a Modern View page.
If the issue persists, it can be due to the setup of your worksheet or Excel. To fix this, I suggest reaching out to an IT or Excel specialist to review your setup.
I've also included this reference to help you run various reports for filing your 1099s: Create a 1099 report for vendors and vendor payments.
Don't hesitate to return if you have additional questions about preparing your 1099s or exporting data from QBO. I'm always here to help. Keep safe, and have a good one.
Quickbooks Online is actually encrypting it before it goes to Excel. I can't even see the tax id numbers inside of QBO when I'm viewing the Vendor Contact List. It's very inconvenient. How do I prevent QBO from doing that? Screenshot is attached if that helps. Thank you.
@Krusso1229 As much as it galls me to say it, it's probably going to be a cache issue with QBO (Surprise, surprise...).
That image looks more like QBO is eating itself again (as is common), rather than an encryption.
Try checking whether it displays the Tax ID properly in an Incognito window.
I've tried shutting my laptop completely down and restarting. I've also tried it in an incognito window, but the tax ID number is still scrambled inside QBO. Any other ideas by chance? Thanks!
@Krusso1229 Well, shoot. The only things that come to mind are:
A) QBO messed up an update somehow or
B) There is some setting inside QBO causing the behaviour, but I wouldn't know where it was.
I think the second option is unlikely; generally, QB likes to hide sensitive information behind asterisks (****), not gibberish.
If it is not either of those, I guess I'll tap out.
@BigRedConsulting @Rainflurry Any ideas?
The tax ID's on my Vendor Contact List look exactly the same as yours. I'm guessing it's by design since you can click the link and it sends you to the vendor profile

I called into the help line and they told me to do it an alternative way from how I had been getting into it and it worked.
Get out of Desktop view (if in it) > Reports> Type in "Vendor Contact List" > SWITCH TO CLASSIC VIEW > Click on the gear settings icon within the spreadsheet (screenshot attached) and customize all relevant columns needed.
