How do you make a report that does sales for the year broken down by City, State, zip

Thank you for posting your first concern in our forum, @Denise61000. I'll help you with pulling up your sales report for the year broken down by City, State, and Zip code.

 

At this time, you can run the Sales by Location Detail report to see your sales performance of all linked localities. You can group it by Location to generate the amounts per place. Here's how:

 

  1. Click on Reports at the left pane, then look for Sales by Location Detail.
  2. Filter the Dates.
  3. Select Location under Group by.
  4. Tap on Run report to refresh the page.

 

However, it only defaults to the data you've entered on the Location field when tracking your sales.

 

I can see your interest in getting the breakdown of your sales by city, state, and zip. For now, you can also open the Customer Contact List to get this information. 

 

  1. Select Customer Contact List from the Reports tab.
  2. Go to the small gear icon.
  3. Add the information you need (city, state, zip).
  4. Click on Run report.

 

Once done, export both reports to Excel. Then, customize the data from there manually.

we import into QB online and that information is not there, we can not even run the report by zip code, we only do business in 2 states

Please know that I understand how this feature can help you manage transactions within your company. However, as of now, we only have the option to export. 

 

On the other hand, when importing data, only a subset of the data is accepted and imported into the program. I'll list the information that you can get into your QBO company below:

 

  • Bank Data
  • Customers
  • Vendors
  • Chart of Accounts
  • Products and Services
  • Invoices

I don't see the report "Sales by Location Detail". Is it no longer available?

A warm welcome from the whole team here at Community, @Riah. I'm here to share some information to ensure you can access the Sales by Location Detail report in QuickBooks Online.

 

The Sales by Location Detail report is only available for the QBO Plus version. To pull this up, enable the Track Location from your Settings and follow the steps below:

 

  1. Go to Settings ⚙, then choose Account and Settings.
  2. Tap Advanced.
  3. Pick the Edit ✎ icon in the Categories section.
  4. Turn on Track locations, then select Location from the Location label drop-down.
  5. Hit Save, then Done.

 

If you're already using the Plus version and the report is unavailable, it might be because of your browser's cache. It affects the display in the program. To isolate this, let's use a private browser to access your QuickBooks account. It doesn't retain them, so this is a good place to start.

 

Here are the keyboard shortcuts you can use:

 

  • For Firefox, press Ctrl + Shift + P
  • For Chrome, press Ctrl + Shift + N
  • For Safari, hold down Command + Shift + N

 

Once done, select the Reports menu and search for the Sales by Location Detail. If it's visible, clear the browser's cache to start with a clean slate. You can also use other supported browsers as an alternative.

 

To check the available reports according to your plan, refer to this article: Reports included in your QuickBooks Online subscription.

 

Otherwise, consider upgrading your subscription to find a better fit. 

 

You can then customize the report to get the data you need. To save the current personalizing, memorize it.
