I am trying to convert back to desktop QB, the export file from online to desktop is messed up and deleted all CC deposits. Is there a way to get a better convert file?

Can I create a file for the couple months I was on online instead of transfer the whole thing back?

When did you convert data to QB Online?

You can purchase a 3rd party service to convert data for the current fiscal year only. Then use the converted file going forward and only use your old QB Desktop file to access the historical data.

Yes, James, you can create a file to export your QBO data to QBDT. Let me help you export your data to QBDT.

To get started, please note that credit card payments and deposits do not transfer to QBDT during migration, I suggest looking for a 3rd party app that will help migrate the CC and deposits. Then, to create a file to convert, we'll have to download the migration tool to conveniently export the data. Here's how:

  1. Sign in to QuickBooks Online.
  2. Go to the Export Overview page.
  3. Select Get Started and go to file in your QBDT and click Closed Company while we complete the rest of the steps.
  4. Go back to QBO and select the Download tool
  5. Install the migration tool, then choose Next.
  6. Read and accept the terms in the license agreement. Then, choose Next.
  7. Select Install, then select Finish.

After installing the migration tool, prepare to export your data from QBO and create a file by following these steps:

  1.  In Step 1: Prepare to export page, select Continue.
  2. Choose to export All financial data or All financial data without transactions, then select Continue.
  3. Verify your name and email address in the Step 3: Request your data page and select Continue, then Close. It may take some time to receive the email confirmation.
  4. Once you receive the confirmation email, go to the Export Overview page and select Get Started, Then, Continue.
  5. In Step 4: Create a QuickBooks for Windows company file, select the Download QBXML file. After confirming the email, save the file to your desktop and select Continue.

For more detailed steps and information on exporting, check out the article or video: Move data from QBO to QBDT.

Additionally, you can read this article to manage your exported data: Limitations when you convert from QuickBooks Online to QuickBooks Desktop.

If you have further concerns exporting the data, please tag me in the comment section, James I'll assist you in any way possible.

This is what I did but it did not convert cleanly. My checking account register says I am negative 4 million, my bills due shows 30ish condensed vendor bills for thousands and on and on

I would recommend to purchase the 3rd party conversion service as I mentioned earlier. You can request a refund if it doesn't meet your expectations.

I recognize the importance of converting all the data from Desktop to Online, Jamestown. You have two options when dealing with the negative amount and due transactions, and I'll share them below.

When importing the file you exported from the Online version, the credit card payments don't move to the Desktop. If you have a backup file, restore it and manually enter the missing transactions. For a more comprehensive list of the limitations, check out this article: Learn how features and data move from QuickBooks Online to QuickBooks Desktop.

However, I recommend looking for a third-party app that enables adding your transactions if you don't have a backup file. Please know that we cannot suggest a specific one. To do so, you can visit this page and enter a keyword in the search field to speed up the process, then go over each of them to determine which tool best suits your needs: Apps for QuickBooks Desktop.

To record what you owe your vendors, refer to this guide: Pay bills in QuickBooks Desktop.

Furthermore, save this reference to resolve the balancing: Reconcile an account for multiple months or years of transactions and financial statements.

Swing by if you have follow-up questions about transitioning from one QuickBooks product to another. I'll be here to address them. Take care.
