I messed up and would like to backup to my QuickBooks file prior to July 26th, 2024. Essentially losing all of the work on Friday. I believe this is possible but how?

Not sure what more details are needed, we were working through reconciling, and we feel being so far out of balance the best thing to do is backup.  I hear this is possible, but I cannot seem to find how?

Creating a backup file is essential before taking another action to fix the reconciliation discrepancy, gngartisans. I can show you where to locate this and provide a fix for the discrepancies.

 

In QuickBooks Online (QBO), the ability to create a backup file is exclusive to QBO Advanced. If you're not an Advanced user, you can consider upgrading your subscription to access this backup feature or export your data from QBO. Afterward, you can continue fixing the reconciliation discrepancy. 

 

However, if you are an Advanced subscriber, kindly follow these steps:

 

  1. Go to the Gear icon located in the upper right corner.
  2. From the Tools column, click the Backup company option.
  3. Find the name of your company file.
  4. Under the Action column, click the three vertical dots or the Ellipsis button.
  5. Click the Run backup.
  6. Press the Run manual backup option.
  7. You can choose either IncrementalFull, or Complete.
  8. Press Back up.
  9. You can click the See More Details or OK.

 

Before dealing with the discrepancy, please prepare your bank statement so we can compare it with each transaction in the company file. Afterward, kindly review the openingbeginning, and ending balances, then follow this article for further steps:  Fix issues at the end of a reconciliation in QuickBooks Online.

 

Also, I recommend contacting your accountant for more accurate reconciliation and providing a precise workaround for this complex issue.

 

After successfully reconciling, you can view, print, or export a reconciliation report since QBO automatically generates this report for future reconciliation periods.

This resolution is worthless to my issue, I am not an advanced user, I am a plus user as this is what I was told would backup my data and would give me inventory tracking.  In my issue I have already caused the problem and simply would like to backup or restore back to July 25th.  Based on what I am reading this is not possible.  If this is correct then the idea that backups are stored to the cloud is also incorrect.

 

If I can restore the company and all its data back to July 25th, it will only mean redoing a single day.  If not then I will do my best to work through the issue I have and continue with the current plan.

 

Please advise, thank you for any help you can offer.

I can see the importance of backing up your company file, gngartisans. I can offer a different option to make your accounting processes easier.

 

Creating a backup of your data is available for the QuickBooks Advanced version. However, you can explore third-party applications that provide the functionality to perform these tasks.

 

Here's how:

  1. Navigate to the Apps section.
  2. Select Find Apps.
  3. Enter "backup & restore" in the search bar.
  4. Once you locate the app, click Get App Now.

 

In addition, you can export the data to an Excel file, such as inventory and transactions, which can be imported into QuickBooks Online (QBO).

Well today I again followed the steps that are suggested to backup data, not my problem but I figured valuable to know.  Following your steps to Tools, there is no option under Tools to backup the company data. 

My issue is I would like to return the company to the backup prior to July 26th.  Is it possible to backup to that date or not?  This to me is a crucial answer at this point.  If QuickBooks does not backup as they state then I have to assume that the option to go back does not exist in the Online version of QuickBooks.  Please advise if I should continue pursuing this with support?  My version of QuickBooks online is 1.38.7 or so says the help screen.

Peter I am pretty sure it's not possible since you never backed up in the first place.

 

But you can

1) Invent time machine
2) Go back to July 26th
3) Buy and install a third-party app claiming to backup and restore QBO
4) Backup QBO
5) Fast forward to today
6) Use restore feature in QBO to go back to yesterday

Thanks for getting back to us, Peter. I understand how important it is to have access to your financial information, especially when trying to revert to a previous state. Let me clarify the situation regarding backup options and provide some guidance moving forward.

 

In QuickBooks Online (QBO), users can't restore data to a specific past date, like July 26th, unless it's backed up before the data loss. The automatic backups in QBO are designed for disaster recovery and are only accessible in the QBO Advanced plan.

 

Since you are using QBO Plus, the Backup the Company option is unavailable. I suggest manually reversing or adjusting entries made since July 26th to return your books to that state. It is the best way to revert changes based on your situation.

 

For future reference, I suggest periodically exporting key reports and data to have a record of your books at different points in time.

 

You may also want to consider exploring a third-party app that integrates with QBO to create backups in the future. While it won't help restore the July 26th files, it will be applicable in future backups. You can find backup apps in our QuickBooks App Store.
