I have 2 companies under my log in, and added users (employees) to one company only. I found out today they have access to both companies, and after spending 35 minutes on the phone with QB support, I have no resolution. How can I restrict their access to just the one company? When I log into the restricted company, only my name shows up as an authorized user but they definitely have access to the restricted company. Your help is greatly appreciated!
Just to clarify. Do you have 2 QBO accounts for 2 company files or 1 QBO account for 2 company files?
Hello there, @MN11030.
I appreciate the steps you've made to fix this issue. I'm here to help and ensure that the other users won't be able to access your other QuickBooks Online (QBO) company file.
I tried to replicate this on my test account, and I don't have the same result as yours. Ideally, users can only access a company file where they've been added.
That said, I highly suggest contacting our Support team again. I know you already called, this further checking which we're unable to do it here in the Community. They can also create a ticket and forward it to our product developers for further investigation.
Here's how to reach them:
To learn more about the different options for user roles and access permissions in QBO, you may check out this article: User roles and access rights in QuickBooks Online.
Please keep in touch if there's anything else I can do to help you. I've got your back. Have a great day.
Did you find a resolution? We have the same situation- 1 accountant user with access to 2 companies, and the companies can see each other's activity. Also called support and got nowhere.
Let's get this sorted out, @lindsey906.
To further verify the root cause of the issue, may I know if you're using a QuickBooks Online Accountant (QBOA) version? If so, you can easily manage your team members permissions and access. For detailed instructions, please visit this article: Change your team's admin access in QuickBooks Online Accountant. This will also guide you in changing your team's access to your client's books.
On the other hand, if you're using the regular QuickBooks Online (QBO) version, you can go to the Manage Users page to check your user's permission and access. From there, you can also change what they can and can't do within your company file.
Also, in QBO viewing your user's activity is a breeze. To do this, you can open your Audit Log. Take note that you have to sign in as the master admin to access this report.
Leave a reply below if you have any other concerns about your user's permission and access. I'm just a few clicks away to help. Have a good one.
What if you have QuickBooks desktop Enterprise? I have two companies and it appears a user with access for one company but not the other can still get in both companies.
Thanks for joining the Community, JHcontroller.
If a user has access to a company file they shouldn't have access to, you can manage their roles/permissions and remove any access in their profile.
Here's how:
I've also included a couple detailed resources about working with user permissions which may come in handy moving forward:
Please don't hesitate to send a reply if there's any additional questions. Have a lovely day!
I think it would be helpful if you told people that the software cannot handle what they are asking for. In Quickbooks online QBO version, there is NOT an option to give a user the privilege to just one client company. I have tried for 6 months and it is not a thing. It seems the way to get this is to use the Quickbooks Accountant version which I think solves the problem.
This isn't the experience that we want you to have, @raymonderb.
Before we achieve your goal for today, can you please provide more information about your concern with handling users in QuickBooks Online? Can you give us more details about the actions you've previously taken so we can investigate and provide you with the best solution to your problem?
