Petty Cash: Negative in quickbook balance column and not understanding why

Greetings!

I do not know why I am seeing a negative in my quickbook balance column. Can someone please help me understand and make corrections if needed?

I am not sure how to create a screenshot. I've also attached my Bank Register of Notarization Services as a pdf attachment. Please see the 2nd page. The two amounts are listed in the "Payment" column and I do not recall entering those amounts in that column. I attempted to correct the amounts by placing them in the "Deposit" column but the system will not allow me to (see 3rd page - shows message why edits are prohibited). When I click the "Edit" button it takes to me to the "Bank Deposit" page (see page 4). I am not sure what to do on page 4 - Bank Deposits. I hope that the additional information helps you to help me. Kind regards, Candice

It looks like your 'Notarization Service' account is mapped to your Petty Cash account.  When you select 'Notarization Service' under Category when making a bank deposit, it deposits the money into petty cash and withdraws it.  Go to your Chart of Accounts and change the income account for 'Notarization Service' from Petty Cash to the appropriate income account.

Petty Cash: Negative in quickbook balance column and not understanding why

Thank you for providing additional information. Based on the bank register you attached, it appears that the two amounts listed in the Payment column have caused a negative balance in your account. This could be due to a few different reasons, such as:

  1. The transactions were entered incorrectly, and the amounts were recorded as payments instead of deposits.
  2. There was a bank error that caused the amounts to be deducted from your account.
  3. There was a chargeback or reversal of a previously deposited amount.

To correct the negative balance, you can try the following steps:

  1. Verify that the transactions in question were entered correctly. Check the dates, amounts, and transaction types to ensure that they were recorded accurately.
  2. If you find an error, edit the transactions and move the amounts from the Payment column to the Deposit column. If you are unable to edit the transactions, you may need to delete them and re-enter them correctly.
  3. If the transactions were entered correctly, contact your bank to investigate any possible errors or chargebacks that may have caused the negative balance.

Regarding the message you received when trying to edit the transactions, it appears that you may have selected the wrong transaction type. To correct the transactions, try the following steps:

  1. Go to the Bank Deposit page.
  2. Select the correct account from the Deposit To dropdown list.
  3. In the Select the payments included in this deposit section, select the payments that correspond to the two amounts in question.
  4. Once you have selected the correct payments, the system will automatically populate the Deposit column with the correct amounts.
  5. Click on Save and Close to save the changes.

If you are still unable to correct the negative balance after trying these steps, I would recommend consulting with a QuickBooks expert or your accountant for further assistance.

Greetings Rainflurry.

I was able to get assistance with this from support. I categorized the Notarization Service to "Other Income" which changed the (-) $12.00 to (+) $12.00. Thank you for responding. I hope this thread will help someone in the future.
