Print Chart of Account WITH Account Numbers

Hello,

This feature is in QuickBooks Online.

1. Make sure you have account numbers turned on in Gear Icon/Account and Settings/Advanced

2. Make sure you have account numbers entered in the account number field for an account

3. From your Chart of Accounts, click "Run Report" in the upper right corner

This should give you a report of your Chart of Accounts with the account number.  You can also add or remove columns by clicking the customize button on the report screen.

I am setting up a small home business in QB desktop.  I am trying to find an example chart of accounts COA with standard account numbers. Is there such a report that gives me ideas on how to number my COA?

Thank you in advance for your time.

Print Chart of Account WITH Account Numbers

Hi there, Melissa!

I'd be glad to help you with your concern.

Great idea you have there. I can see having a report that can guide you on how to assign account numbers to your chart of accounts would be helpful.

Default account numbers are based on Generally Accepted Accounting Principles (GAAP), I'd suggest consulting your accountant so you'd be guided in assigning them.

You'll want to go to your Preferences to enable the account number feature. Here are the steps:

  1. Click the Edit button, then select Preferences.
  2. Go to the Accounting tab.
  3. Select the Company Preferences tab.
  4. Check the Use account number box.
  5. Click OK

I have the chart of accounts with account numbers.  I want to print the chart of accounts including the description.  l run report and see all that I want; however, the sort and filter option only allows it to be printed in alphabetic order.  i want it printed in account number order.  Also, I would like to turn off all the quickbooks chart of accounts I do not want to use.

Welcome to the Community space, CPI Accounting. I'll provide details about printing your Chart of accounts in QuickBooks Online (QBO) by account number.

Printing reports showing your chart of accounts by account number is currently unavailable. As a workaround, you can export it to Excel forms and sort it by account numbers before printing.

Moreover, there are default accounts in QuickBooks you can’t make inactive or use for any other purpose. Some accounts can be deactivated or deleted by merging. Learn more about these accounts through this article: Manage default and special accounts in your QBO.

Additionally, you may want to customize a report and save it for future use. Refer to these relevant resources for a complete guide:
