Hi @beth1026,

 

I'm here to provide insight into your query on the notes of a sales order transaction.

 

Whenever you run the Open Sales Order report, you can double-click on any given sales order transaction. Once open, click the Transaction tab on the right-hand side to have access to the Notes of that specific transaction.

 

Repeat the instructions above for all other sales order transactions you need to have the notes accessed.

You can only add Notes to each transaction and have a column in the Report to show that information. I've provided the steps below on how to add the Notes column to your Report:

  1. Open the Open Sales Orders by Item Report.
  2. Click on the Customize Report button at the top of the Report.
  3. In the Display tab, type Notes in the Search Columns and place a check-mark to add.
  4. Hit OK.

Now you have a column in your Report to show the Notes of each transaction.

I'm here to share details about adding notes from the actual sales order in the note/notepad. This way, you'll be able to determine where you can save and monitor your transaction information.

 

You can add notes by opening each of your sales order transaction. Then, you'll have to go to the Transaction tab. From there, you can access the Notepad window where you can enter your notes.

 

Additionally, you're unable to view your notes directly from the Open Sales Order report. However, you can manually open each sales order transaction to view them in the notepad.

 

Moreover, you'll have to convert your sales order transaction to an invoice to track of your accounts receivable. For the complete details, kindly refer to this article: Create an invoice in QuickBooks Desktop.

The functionality to carry the notes entered on the Sales Order to the Open Sales Order Report is currently unavailable. The notes will only show when you run the Customer Contact List Report since the source is based on the customer.


QuickBooks uses a concept called Source and Targets to apply accounting principles and processes, like recording transactions and displaying reports. When running a report, QuickBooks looks at individual transaction lines. 

 

If a line matches the report set, the line is added to the report. This is why the information written in the Notes field doesn’t automatically carry to the Open Sales Order Report.
