Can i run a sales report by shipping state?

I need a report showing all sales for a period sorted by shipping state and class. Can anyone tell me how to create this? It's for sales tax returns. thanks!

I can definitely help you get a report with the shipping state and classes. For this we need to get two sets of reports to get the data you need.

 

To get the report to display classes alongside the transactions, use a Transaction Detail by Account report. Here's how to use it:

 

  1. Go to the Reports menu and find Transaction Detail by Account.
  2. Click the Customize icon on the report and go to the Filter section.
  3. Select the name on the Customer drop-down or Invoice for the Transaction Type.
  4. Mark the Class filter.
  5. Update the Report period and the Accounting method.
  6. Lastly, click on Run report.
  7. (Optional) You can use the Save customization option, so you don't need to redo it when pulling up the same report. Saved customizations are then moved to the Custom reports section.

To add the addresses, use a Transaction List by Customer report. Here's how to customize it:

 

  1. Go to the Reports menu again and choose Transaction List by Customer.
  2. Click the little gear on the report, then Show More.
  3. Mark the addresses you want to see when you run the report.
  4. Click on the header to exit out from the filter.

 

 

Then you can export these reports using the export icon found beside the report gear icon. From the worksheet, combine the information using the transaction numbers manually.

Are you saying I have to run two separate reports in QBO, export them to Excel, then MANUALLY combined them using the transactions numbers?

... if so, that is not a solution to the problem of creating sales tax returns from QBO data.  We have hundreds of transactions in a quarter.  QBO collects the data we need, but the reports module is not modifiable enough to put Shipping State AND Class on a single report.  I suggest QBO expand its report modification capabilities.

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

Lol, I've been here long enough to know that

1. That's never going to happen
2. It's definitely never going to happen in desktop, the most useful version of the software as they state they are no longer putting development time into it. That I was told by my rep who called to see if there was anyway they could improve their software.

Keep your suggestions for whoever ends up taking over QB's market share, although you probably won't have to because a company that's on its' game will have already thought of the basics first instead of last.

Running a sales report by shipping state is currently unavailable in QuickBooks Self-Employed (QBSE). 

 

As an alternative, you can consider subscribing to QuickBooks Online (QBO) to get the information you need. However, you'll need to run two different reports. To do so, you can follow the steps provided by my colleague Jen_D above.

 

While this option isn't available in QBSE, I suggest submitting feedback directly to our product engineers. They may look into this suggestion and consider adding this option in future updates. To submit feedback, you can follow the steps below:

 

  1. Sign in to your QBSE account.
  2. Click the Assistant menu and type submit feedback.
  3. Choose the Feature request or Add a feature option from the prompts.
  4. Use your text box to create the feature request.
  5. Select Submit.

 

You can also visit our Customer Feedback page. This will help you track the status of your product request and get the latest updates from our developers. Updates such as how the recent enhancement made to QBO helps our business owners, like you.

I see that the report was not available in QBO online as of Jan 2023.  Is it available yet?

As of now, the option to run a sales report by shipping state still needs to be made available in QuickBooks Online. Rest assured, I'm here to help you get the information you need on the report.

 

We can pull up the Transaction Detail by Account and Transaction List by Customer reports. Here's how:

 

  1. Click the Reports tab.
  2. Enter and select Transaction Detail by Account.
  3. Click the Customize button.
  4. Select the name on the Customer drop-down or Invoice for the Transaction Type.
  5. Tick the Class field.
  6. Update the Report period and the Accounting method.
  7. Click Run report.

 

Then, to reflect the addresses, you can follow these steps:

 

  1. On the Transaction List by Customer report page, click the small Gear icon.
  2. Click Show More.
  3. Mark the addresses you want to see when you run the report.
  4. Click on the header to close out the page.

 

From there, you can export the two reports to an Excel file to combine them.

Can i run a sales report by shipping state?

It looks as if QB has taken away the option to choose the ship to State in the drop down menu. The screen grabs that appear on this thread no longer match what is on QBO... Why take this away? I need to run a sales by state report and can no longer do so. I'm guessing you have to pay for another add on service?  Does anyone have a fix for this?

Since the option isn't there anymore, I recommend submitting feedback to our Product Developers so they can consider adding this back in the next available update. Here's how: 

 

  1. Go to the Gear icon in the top right-hand corner. 
  2. Press the Submit Feedback option. 
  3. Enter your suggestions. 
  4. Tap the next button to submit your suggestions.
