Creating Intuit account with Gmail or iCloud email accounts

I manage a Quickbooks Online Essential setup.  When we started, I had the "primary admin" role, and created a second account as "company admin".  That secondary account will change hands whenever a new Treasurer of our organization is elected.

That second account had a "gmail.com" email address.  Less than 2 weeks ago, that account disappears from our QB setup, and was listed as "cannot find an account by that name" during login.  If I try to add it back as an Intuit account, "that email is already taken".  Called support, and while they weren't real helpful, it became apparent the account has been locked for some reason.

So, I create a new gmail.com account and try to add it back, to serve the same purpose as the locked account.  Good old mystery code 25625.  I've tried all of the troubleshooting on this, attempted on 2 computers, one iPad (all Apple HW/OS), three different browsers, and EVEN tried on a Windows 11 VM using Edge.  Account setup still fails.

I also went through all of these steps with an iCloud.com account I wanted to try.  It fails also.

My question at this point is "Has Intuit made a system-wide change to their account process that prohibits 'free' email accounts from registering, such as gmail.com and icloud.com?".

Thought I'd ask here before I engage in a (likely) long exchange with support over the phone.

I appreciate your efforts in taking all the steps to set up your account, JustMeAt107. Let me share some details on why the email address listed on your company admin has disappeared and point you in the right direction of support. 

 

QuickBooks allows you to connect with free email providers like Gmail and iCloud. The error code 25625 you encountered occurs when cookies are blocked. Usually, performing the troubleshooting steps mentioned below will isolate the issue: 

 

  • Log off the VPN.
  • If you use a firewall, make sure pf.intuit.com has access.
  • Turn off any ad blockers.
  • Ensure you're not using incognito or privacy mode.
  • Ensure you're using a standard browser such as Chrome, Safari, Edge, or Firefox, and adjust your cookie and pop-up settings for your browser. 


Since the issue persists, I recommend contacting our Customer Support Team. They have resources and tools to investigate the cause. It'll also allow them to submit a ticket to our engineering team to alert them about the issue if necessary. I'll show you how: 

 

  1. Go to the Help icon. 
  2. Choose the Search tab and hit the Contact Us button.

  3. On the What can we help you with? area, select the Ask about something else tab. 
  4. Enter a brief description of your situation and click Continue.

  5. Options will display on the screen, then choose how you want to connect with us: 
    • Callback - We'll save your spot in line and call you back. 
    • Chat - Start a conversation.

I will certainly be contacting support on this, but I can assure you that despite what the company line is on the issue, 25265 cannot be limited to cookie issues.  VPN off, blockers off, all cookie settings as specified by your documentation.  I *STILL* can't add a new account.  Three different browsers on macOS, and Edge on my Windows VM, same results.

Funny thing is that when I originally reported this mysterious disappearance of the first Gmail account from QBO, I decided to try my personal Gmail account, using the same browser (Safari macOS), same settings, same VPN as always, and THAT account got added just fine.  Unfortunately, I can't use that Gmail account for QBO.

Again, I'll call support maybe next week, hoping to find someone that will understand the problems.

We DID finally call support to find out that in their infinite wisdom, someone at Intuit decided to put a block on the email account we were trying to add as a user.  That supposedly will be addressed in the next day or two.  I do not understand how or why Intuit can indiscriminately make these types of decisions without involving their customers.

Bottom line here is 25625 does NOT always mean a cookies problem.  Call support if it keeps happening to you.
